Job Title:    Accounts Assistant

Duty Station: Mbarara,
Uganda

Reports to: Senor Finance Officer

The AIDS Support
Organization (TASO Uganda), an organisation contributing to a process of
preventing HIV infection, restoring hope and improving the quality of life of
persons, families and communities affected by HIV infection and disease.

 

Job Summary:  The Accounts Assistant will be responsible for
the effective management of cash and other cash equivalent at the Service
Centre. He/she will receive, issue and take custody of all store items as
required.

 

Key Duties and Responsibilities:  

·       
Receive
cash/cheques due to TASO and promptly bank and receipt cash

·       
Pay out
approved Payments

·       
Keep
safety of cash, cheques and other valuable items

·       
Preparation
of bank and Beyonic reconciliation on a monthly basis

·       
Follow
up on the unreconciled items on a monthly basis

·       
Maintain
updated Cash book records

·       
Initiate
payments in Beyonic and bank as approved by the responsible Officers

·       
Initiate
payments in Navision for both bank and Beyonic

·       
File all
complete records in time

·       
Maintain
appropriate Beyonic and bank balance levels

·       
Check
and receipt all items brought into stores

·       
Properly
issue out authorized items

·       
Update
stock cards and perpetual inventory

·       
Prepare
and share monthly stock levels reports

·       
Maintain
an updated and computerized Navision

·       
Maintain
safety and security of stores items

·       
Ensure
cleanliness and neatness in stores

·       
Prepare
and submit monthly, quarterly and annual stock taking reports

·       
Prepare
and submit monthly, quarterly and annual payment transaction reports

·       
Generate
monthly quarterly and annual stores transactions reports

·       
Any
other duty assigned by the Immediate supervisor

 

Key Outputs

·       
Cash and
cheques due to TASO received and paid out

·       
Bank
reconciliation done

·       
Beyonic,
Bank and cash books managed

·       
Store
items received and issued

·       
Stock
cards and perpetual inventory maintained

·       
Items in
stores kept in accordance with set standards

·       
Reports
on stores situation and payment transactions generated

 


Qualifications, Skills and Experience:

·       
The
applicant must hold a Diploma in Accounting or BBA (Finance), preferably UDBS
or ATC, or 1st Part of ACCA or CPA. Or 1st Degree in, Accounting or Finance or
BBA (Finance) with level 1 ACCA or CPA.

·       
Additional
Training: Diploma in Purchasing and Supply or Stores Management 

·       
Two
years of experience in a busy Cash Office, store or yard

·       
Management
of cash and cheque receipts and payments

·       
Knowledge
of cash-handling regulations

·       
Secure
filing of accounting records

·       
Purchasing
and Supply knowledge

·       
Stores
Management

·       
Knowledge
of storage requirements for the specific items stored

·       
Book
keeping skills

·       
Interpersonal
skills

·       
Communication
skills

·       
Records
management skills

·       
Hands-on-computer
skills

·       
Other
Qualities/Attributes:
Highest
level of honesty and integrity, appropriate degree of assertiveness and speed
and accuracy.
