About NU-TEC MD Project:

NU-TEC MD is a five
year FCDO funded programme that aims to increase the incomes and climate
resilience of poor-men and women in northern Uganda (NU) by (a) stimulating
sustainable, pro-poor growth in selected agricultural markets and (b) improving
the position of poor men and women within these market systems, to make them
more inclusive for poor people.  Palladium manages the programme on
behalf of FCDO.

 

Job Summary:  The Operations Officer will support the
implementation of effective and efficient operational, financial and compliance
activities to deliver NU-TEC MD in accordance with contractual obligations,
company policies, Group Standard Operating Procedures (SOPs) and Guidelines,
and client rules and regulations.  The
team is responsible under the leadership of Project Director and management of
the Team Leader.

 

Key Duties and Responsibilities:  

Administration

·       
As a
receptionist ensure that all office visitors are courteously attended to.

·       
Ensure
office cleanliness and ambiance all the time

·       
Keep an
up to date suppliers list to ensure that procurement of office assets and
supplies are procured from the approved suppliers.

·       
Assist
with procurement of project assets and supplies following the Standard
Operating Procedures (SOPs)

·       
Update
the Inventory List with project assets as soon as assets are procured

·       
Reserve
accommodation for staff/visitors travelling to the field

·       
Prepare
weekly drivers’ schedules to ensure vehicles are allocated to all staff going
to the field

·       
Filing
of documents electronically; and in hard copies if necessary and ensuring that
they are easily retrievable when required.

Financial
Management

·       
Prepare
Payment Approval Forms (PAFs) for the approval of the Team Leader/ Deputy Team
Leader ensuring all approved documents – invoices, LPOs and other supporting
documents are attached.

·       
Be
responsible for petty cash ensuring that only approved payments are made

Human Resource
Management and Recruitment

·       
Prepare
an induction schedule for the new staff and ensure they are inducted on general
issues which include but not limited to timesheets, Internet and Email use

·       
Support
the recruitment of staff by ensuring that they provide their CVs, education
certificates and any other documents to be filed on share point.

·       
Ensure
new staff/consultants are availed with internet and airtime to carry on their
work.

 


Qualifications, Skills and Experience:

 The applicant must hold a degree in Business
Administration or its equivalent with demonstrated experience working with
Projects or NGOs.

 

NB: The position
will be contracted from 1 April 2021 until 31 March 2022, as the project’s
completion date.
