About US:

Dwelling Places (DP)
is a  registered Christian  Non-Governmental Organization which
specialises in the rescue, rehabilitation, reconciliation, resettlement and
follow-up of children living on the streets. 
The overall objective of DP  is to
have a society where every child has a chest to rest their head on and a place
to call home.

 

Job Summary:  The Documentation Officer will oversee Proper,
accurate documentation and maintenance of the beneficiaries’ records. The
incumbent will play the mentorship to the young social workers on the team.

 

Key Duties and Responsibilities:  

·       
Fill
application forms for court care orders within 24 hours of the children’s
recruitment in the home and other legal documents for the clients

·       
Duplicate
boys files to create a copy for Buloba site and ensure that they are updated

·       
Coordinate
the weekly file updates with pictures, progress reports, health records,
pictures, etc

·       
Liaise
with social workers to see that all files are updated on a quarterly basis

·       
Conduct
quarterly file stock taking to ensure all files are in place and updated

·       
Participate
in family time activities

·       
Participate
in the implementation of the child protection policy

·       
Update
the DP child status index (CSI) database with information from the forms and
share the updated copy with DDCP and M&E Officer

·       
Receive
children/ parents that seek support at the office, document their stories and
refer those that do not fit the DP support criteria to other organizations

·       
Conduct
quarterly file stock taking to ensure that all the files are in place and
updated

·       
Identify
and train a successor accordingly

·       
Ensure
that every child in residential care has a memory book that is updated

·       
Document
the data documentation processes and procedures

·       
Write
monthly reports and submit them by the 28th of every month.

·       
Any
other duties as may be assigned by the line manager

 


Qualifications, Skills and Experience:

·       
The applicant
must hold a Bachelor’s in mass communication, Computer Science, Business
Information Systems, Information Management or Statistics and training in
Social Sciences

·       
At least
three years’ proven working experience as a researcher and/or social data
analyst in busy organisation with high volumes of data/ information

·       
Technical
expertise regarding data management best practices

·       
Strong
analytical skills with the ability to collect, organize, analyze, and
disseminate significant amounts of information with attention to detail and
accuracy

·       
Experience
with Tableau or other data visualization software

·       
Excellent
written and spoken English and presentation skills

·       
Proficiency
in Microsoft Office suite including Word, Excel, PowerPoint, and SharePoint;
experience with MS Project

·       
Proficiency
with dimensional database constructs

·       
Strong
interpersonal and critical thinking skills

·       
Excellent
organization, attention to detail, and ability to appropriately prioritize
competing tasks

·       
Effective
and efficient time management skills

·       
Proven
ability to work in a dynamic team environment with minimal supervision,
anticipating needs and requests;

·       
Born
again Christian
