About US:

The National Animal
Genetic Resources Centre and Data Bank (NAGRC&DB) was established by the
Animal Breeding Act, 2001. It is one of the statutory semi-autonomous bodies of
the Ministry of Agriculture, Animal Industry and Fisheries (MAAIF). Formation
of NAGRC &DB was part of the fulfilment of the aspirations in the National
Animal Breeding Policy (1997), document and the Action Plan for its
implementation providing guidelines to all actors in the animal breeding and
production value-chain. The actors included input suppliers, farmers,
companies, researchers, extension workers and civic leaders on suitable breeds
for the various ecological and production systems.

 

Job Summary:  The Principal Administrative Secretary will provide
secretarial and administrative services to the Office of the Executive Director

 

Key Duties and Responsibilities:  

·       
Takes
dictation, transcribes and presents accurate and error free work.

·       
Manages
records in accordance with established security and records management
procedures.

·       
Requisitions
for and manages office stationery and equipment.

·       
Serves
as a Personal Assistant to the Executive Director;

·       
Drafts
letters of routine nature and types official letters, documents and
manuscripts, or audio-types;

·       
Draws up
and monitors appointments and programmes in conjunction with relevant officers,

·       
Coordinates
bookings for meetings, workshops and conferences;

·       
Coordinates
reservations for key local staff i.e. books air tickets, hotels, gets visas;

·       
Prepares
presentations, reports and minutes as assigned;

·       
Receives
and attends to visitors/clients; 1

·       
Receives
incoming mail, callers or telephone and supervises outgoing mail.

·       
Requisitions
for office supplies;

·       
Ensures
security of office records, documents and equipment;

·       
Manages
office protocol and media issues;

·       
Guides
and supervises secretarial and support staff in the office;

·       
Assists
in the management and professional development of the cadre;

·       
Take
Board Minutes.

·       
Ensures
cleanliness and orderliness of the office.

·       
Any
other duties as assigned by the Executive Director

 

Qualifications, Skills and Experience:

·       
The applicant
must hold a Bachelor’s Degree in Secretarial Studies or Bachelor’s Degree in
Information and Office Management, Bachelor of Business Administration,
Management, Community Psychology or equivalent qualifications from a recognized
Institution;

·       
A post graduate
Diploma in Public Administration or Management from a recognized University
will be an added advantage

·       
Working
experience of at least five (5) years, two (2) of which should have been at the
level of Stenographer Secretary or equivalent level gained from reputable
organization/institution

·       
Age
Limit: 30-55 Years
