Job Summary:  Amref Health Africa in Uganda seeks to recruit
an Administration Officer who will directly support management with day-to-day
administrative processes of the organization. He/she will also from time to
time handle documents with classified information and deal with service
providers.

 

Key Duties and Responsibilities:  

·       
Support
the program manager with Office set up including identifying office space for
the project, identifying possible suppliers to provide various services during
activity implementation.

·       
Provide
support to the project staff by ensuring that quality items are procured timely
and cost effectively. Ensuring transparency and accountability in all areas of
logistics.

·       
Provide
Human Resource support to the project team including policy interpretation,
leave and welfare management.

·       
Liaise
with Project management staff to prepare and analyze periodic procurement plans
and advise management accordingly.

·       
Maintain
records pertaining vehicle usage, inventory/assets ensuring availability of
various up-to-date databases.

·       
Monitor
the usage of office equipment and arrange for servicing/maintenance accordingly.

·       
Responsible
for the day to day planning of vehicle use ensuring that vehicles are used cost
effectively and that log books are well maintained.

·       
Issue
out fuel, monitor the filling of vehicles and ensure accurate records

·       
Manage
office imprest and ensure payments are made in accordance with Amref procedures
and regulations.

·       
Responsible
for maintaining administration files. Ensures that all administration documents
are stored in a safe and secure location, protected from damage

·       
Handle
the reception and attend to office visitors including screening and referring
them to appropriate officers

·       
Organize
for staff meetings including collecting agenda items from the team, reminding
staff about meetings, keeping and circulating minutes.

·       
Manage
utility bills and ascertain cleanliness and orderliness at the project office
daily

·       
Ensure
that office bills are paid on time and service is maintained

·       
Support
manager in running consumables control system and maintain minimum stock levels
as laid down in the stores control system

·       
Maintain
records pertaining to stores issues and maintain an up-to-date database

·       
Carry
out quarterly stock checks in accordance with Amref stores management policy

·       
Maintain
a fixed asset register in accordance with Amref stores management policy.

·       
Perform
any other duties as assigned by the supervisor.

 

Qualifications, Skills and Experience:

·       
The
ideal candidate must hold a Bachelor’s Degree in Business Studies/Business
Administration or related Secretarial training.

·       
A
minimum of three years of experience in a related job

·       
Good
record management and working knowledge and experience using MS office is a
must

·       
Experience
handling stores management, procurement and logistics. Highly analytical

·       
Good
interpersonal and people management skills

·       
Ethical,
transparent and very trustworthy with a high sense of responsibility and
initiative

·       
Must be
able to make sound decision in compliance to organization policies and
procedures.
