Job Summary:  You will be our global Program Operations
Assistant. Your role is to ensure that all of our internal processes and tools
remain up to date and accurate. You are a self-starter, an excellent
communicator, and are extremely organized and reliable. You are comfortable and
have experience working across different platforms, and are a quick learner.
Key Duties and Responsibilities:  
CRM Management
·       
Ensure
proper formatting within Copper (CRM) of all Opportunities, People, and
Organizations by performing weekly and monthly audits.
·       
Ensure
all information entered in Copper is up to date and accurate for all countries
by performing weekly and monthly audits.
·       
Ensure
opportunities are exported monthly into a complex Excel document (the “Programs
Dashboard”), a PowerPoint Slidedeck, and other relevant locations on a monthly
basis.
·       
Internal
Tool/Process Management
Programs Dashboard
·       
Ensure a
complex Excel document is updated monthly and formulas remain constant. Minimal
data cleaning is required.
·       
Export
and clean data from the Viamo platform to be included in the Programs
Dashboard.
Programs Funnel
·       
Ensure
monthly completion of monthly tasks by all Country Managers.
·       
Perform
basic analysis of the performance using Excel.
·       
Project
Log
·       
Ensure
project log remains up to date each month.
·       
Complete
information where possible using information available on a shared company
Google Drive.
·       
Global
Programs Calls
·       
Prepare
structure of monthly deck.
·       
KPI
Tracking
·       
Ensure
internal tracking is up to date.
·       
Programs
tools
·       
Updates
to Programs resources, such as capability statements, as needed.
·       
RFP
Portal
·       
Comb and
review websites for relevant grant and contract opportunities and share with
in-country staff in an Excel spreadsheet
·       
All
other duties as required
Key Performance Indicators
·       
Timely
and accurate completion of all monthly tasks.
·       
Team and
Reporting Structure



Qualifications, Skills and Experience:
·       
The
applicant must hold a Bachelor’s degree.
·       
One to
two years of experience in administrative operational tasks in any combination
of: social enterprise, INGO, mobile network operator, ICT4D.
·       
Excellent
verbal and written communication skills in English and an ability to
communicate clearly with a range of people from diverse backgrounds and
cultures.
·       
Demonstrated
self-management/entrepreneurial skills, adaptability, and resourcefulness.
·       
Experience
using Google Drive, Excel, Powerpoint, and CRMs (ideally Copper).
·       
Experience
with basic data cleaning.
Desirable
·       
Experience
living and working in a Viamo country in Africa or Asia.
·       
Excellent
written and oral communication skills in French.
