Job Summary: The Warehouse & Assets Officer is
accountable and responsible for inventory management including; planning,
monitoring usage levels, managing warehouse facilities, and reviewing the
quality and efficiency of warehouse activities in line with SCI policies and
procedures. Performance of tasks shall be executed in a manner that promotes
value for money in accordance to SCI standards.
In the
event of a major humanitarian emergency, the role holder will be expected to
work outside the normal role profile and be able to vary working hours
accordingly.
Key Duties and Responsibilities:
Inventory
management
·
Conduct proper stock physical verification to ensure
quality and quantity of item ordered are received (On and Off site)
·
Packaging deliveries with accurate use of carton labels
·
Timely notification of requesters/programme for all stock
deliveries made for better planning
·
Access control of the warehouse (Entries and exits)
·
Maintaining up-to-date date record for inventory
management (Bin cards, Stock cards)
·
Controls inventory levels by conducting periodic physical
stock counts; reconciling with data storage system for Admin stock.
·
Timely upload of data and implementation of the Total
Inventory Management system (TiM)
·
Raise purchase request for procurement of office supplies
at country office base on consumption levels
·
Keep all inventory
records up to date as per donor & SCI requirement to ensure value for money
·
Maintain optimum stock levels in the warehouse
·
Provide support for TIM transactions
Warehouse
management
·
Safeguards warehouse operations and contents by
establishing and monitoring security procedures and protocols.
·
Keep the warehouse organised and clean at all times
·
Oversee the distribution, dispatch and transportation of
items to staff at the country office and regions
·
Warehouse layout and storage space usage as per commodity
category
Invoice
processing
·
Handle payment processing of invoices while checking
documents for completeness of codes and tracking of all invoices before
submission to finance.
·
Order tracking and supplier liaisons to ensure timely
delivery of items
Asset
controls
·
Support in the management of all SCI assets and asset
disposal process
·
Support periodic physical verification of all SCI assets
both fixed and GPE.
·
Ensure timely tagging of all organization assets across
projects in line with financial/ operations guidelines (upon delivery/ before
release)
Documentation
and reporting
·
Maintain a filing system for all warehouse and asset
documentation in a systematic manner
·
Prepare and submit weekly and monthly updated warehouse
status report
·
Track all payment in the invoice tracker and e-filling of
all payment before submission to finance
·
Perform any other tasks as delegated by the line manager
Qualifications, Skills and Experience:
·
The ideal candidate for the Save the Children Warehouse
& Assets Officer job placement must hold a Bachelor’s degree in
Procurement, Supply chain management, Administration. Experience in Logistics/
warehouse management will be an added advantage
·
At least two year’s relevant working experience,
preferably with International NGOs, and good understanding of major donor’s
warehouse management practices, distribution and stock control procedures.
·
Self motivated with demonstrated ability to generate
inventory/warehouse reports and meet set deadlines and with good integrity.
·
Team player with good interpersonal/ communication,
documentation and facilitation skills and the ability to work under minimum
supervision in a team.
·
Computer literary and fluency in English are a MUST.
·
Ability to maintain personal professional development and
competencies on warehouse/supply chain issues.
·
Strong analytical skills and planning abilities.
·
Willingness to travel and work in hard-to-reach areas,
occasionally under strenuous conditions.
·
Organisational ability and excellent documentation skills
are a must.

times of humanitarian responses.

Highly developed cultural awareness and ability to work
well in an international environment with people from diverse backgrounds and
