The Danish Refugee Council (DRC) is a private, independent,
humanitarian organization working on all aspects of the refugee cause in more
than 36 countries throughout the world. The aim of DRC is to protect refugees
and internally displaced persons (IDPs) against persecution and to promote
durable solutions to the problems of forced migration, on the basis of
humanitarian principles and human rights. DRC works in accordance with the UN
Conventions on Refugees and the Code of Conduct for the ICRC and NGOs in
Disaster Relief.

 

Job Summary:  The main purpose of this position is to
facilitate the efficient and effective financial/administrative operation of
the DRC field office. She/he will ensure the compliance with all DRC Operations
Handbook Manual (OHB) alongside donor policies, guidelines and rules and will
seek and receive policy guidance/instructions and support from the Area Manager

 

Key Duties and Responsibilities:  

Finance:

·       
Maintain Financial Files (physical and soft
copies) and records according to DRC Operations handbook

·       
Implement financial policies and procedures of
DRC and Donors

·       
Carry out weekly cash counts and reconciliations

·       
Ensure that full accountabilities
(documentation) are obtained for all expenditures in order to validate all
financial claims

·       
Prepare weekly cashbooks with complete
documentation for review by the Finance officer and Area Manager by every
Friday of the week

·       
Properly enter and record transactions in the
cash book on a daily basis

·       
Prepare bi-monthly bank reconciliations

·       
Process approved payments of suppliers/service
providers on the basis of complete documentation

·       
Support the Field Office to adequately prepare
for both internal and external audits

·       
Submit Project Files and related documents to DRC
Country Office for backup storage both in soft and hard copy formats

·       
Keep copies of all Finance documents submitted
to DRC Country Office and the Field Office for reference as when required

·       
Scan vouchers and supporting documents for
submission to DRC Country Office on a monthly basis

·       
Properly file all documents in accordance with
Donor requirements and/or DRC OHB

·       
Inform the Area Manager/Base Manager on
Financial issues which can affect the execution of DRC Programmes

·       
Ensure safe guarding of the available funds

·       
Prepare payment vouchers and review order
requests in accordance with approved authority matrix and running budgets

·       
Accurately prepare necessary documents, compile
source documents and daily postings of all cash transactions in the cash book

·       
Support and guide the cash team in the
reconciliation and verification of cash beneficiary cards for authenticity and
validity

·       
Administration:

·       
Provide support in the restocking and proper
storage of office supplies/consumables at the Field Office

·       
Ensure contracts are respected and paid for in
accordance to agreed terms of payment

·       
Manage any other relevant administrative
management issues

·       
Uphold the DRC’s Code of Ethics at all times

 

Qualifications, Skills and Experience:

·       
The ideal applicant for the Danish Refugee
Council (DRC) Finance and Administration Assistant job must hold a University
degree in Accounting, Finance or related relevant field

·       
A professional qualification in Accounting is
desirable

·       
One to three years’ experience in the Finance or
Accounting Field

·       
Previous experience with International
Non-Governmental Organization in similar or related position

·       
Previous working experience in Refugee
Operations is an asset

·       
Experience in using ERP system is an added
advantage

·       
Good analytical skills

·       
Ability to work under pressure with tight
deadlines

·       
Team player with ability to work under minimal
supervision

·       
Languages:  Fluency in English. Fluency in local
languages would be an asset.
