Job Summary:    The Office Clerk will provide short term
service support to the Area and Country Office.

Key Duties and Responsibilities:  

·      
Front desk contact person for the Area and
Country offices

·      
Prepare meeting agendas, participate in
meetings, and record and transcribe minutes and distribute to all staff

·      
Attend to phone calls, direct calls to
appropriate staff and take messages

·      
Make accommodation, entertainment and timely
travel arrangements for NRC Staff and visitors by liaising with hotels, flight
operators, travel agents and taxi services as well as receiving and reviewing
Travel Authorization forms (TAR) for both in country and international travels

·      
Process and prepare documents, such as payment
request/claims for finance to review, or government forms and other related
documents for Country Director / Area Manager’s signature

·      
Assist the logistics officers in day to day
Inventory as well as Providing bidding documents and information to bidders
with guidance of the logistics team

·      
Monitor stocks of office supplies (stationery)
and order when there are shortages and issuing office consumables to the tea
lady and working tools to the gardener

·      
Operate office machines, such as photocopiers
and scanners, facsimile machines, voice mail systems and personal computers

·      
Complete work schedules, manage calendars and
arrange appointments

·      
Communicate with service providers, visitors,
employees, and other individuals to answer questions, disseminate or explain
information, take orders and address complaints

Qualifications, Skills and Experience:

·      
The applicant for the Norwegian Refugee Council
(NRC) Office Clerk job must hold a Diploma in office management or related
field

·      
One year of experience working at a front desk
with a busy organization

·      
Experience from working as service support staff
in a humanitarian/recovery context is an advantage

Personal Qualities

Must be fluent in English, both written and
verbal

·      
Office Management Experience

·      
Excellent verbal and written Communication

·      
Confidentiality, Dependability and professional
etiquette

·      
Attention to Detail
