They are recruiting on behalf of a valuable client, an events service provider.  

Job Summary: The Personal Assistant / Event Planner is
accountable for ensuring successful events through overall planning,
organizing, communicating and executing all aspects of the process whilst
meeting or exceeding client expectations. 
The events include weddings, corporate events, small functions and even
big product launches both in Kampala and upcountry.

Key Duties and Responsibilities:

Assisting the events team with a high number of
events, ranging from weddings, small meetings, award ceremonies and big
corporate events

·      
Accompanying events manager to both internal and
external events

·      
Promoting events across all social media
platforms and manage all online inquiries

·      
Send quotations and invoices to all clients and
ensure they are accurate and presented in line with service level agreements

·      
Work with management to maximize and drive
decoration business

·      
Promotion and selling of the decoration packages
at every opportunity through client show-arounds, marketing events,
co-ordinating the production of collateral and PR opportunities to achieve this

·      
Dealing with clients in person or via telephone
& email and responding to all requests in a professional & timely
manner, endeavouring to convert every call into a sale whilst providing the
highest level of service, integrity and creativity

·      
Capturing of all wedding/event enquiries in line
with our standards

·      
Clarification of all details pertaining to an
event in writing, well in advance of the event

·      
Effectively communicating client’s expectations
and requests accurately to all departments

·      
Manage the store of all decoration items and
ensure all items are disbursed with authorization and returned

·      
The jobholder will take lead in preparing of
weekly event work sheets and coordinate them to ensure all parties play their
roles

·      
Report all missing items after an event

·      
Overseeing each client experience from initial
enquiry stage to post event stage

Supporting the events manager with logistical and administrative support

·      
Maintaining records of all bookings e.g. venue
and taking payments where necessary

·      
Assisting with creative decisions

·      
Attending all meetings to act as a second point
of contact

·      
Ad-hoc duties at events including, but not
limited to, guest list management, showing guests to tables and taking coats

·      
Helping set up and dismantle events efficiently
through to completion

·      
Ensuring all branded items for events arrive on
time

Qualifications, Skills and Experience:

·      
The applicant should at least hold a Diploma /
Degree.

·      
At least two years of providing administrative
support to an events company

·      
Basic accounting knowledge with experience in
generating invoices and receipts

·      
Debt collection experience is desired

·      
Applicants
with creative appeal and design skills are strongly preferred.

·      
Proven project management skills

·      
Strong commercial acumen

·      
Confident with all Microsoft Office packages

·      
Creative and used to thinking outside the box

·      
Excellent networker

·      
Passion for events

·      
Able to work independently as well as part of a
team

·      
Personable and presentable

·      
Eager to contribute new ideas

·      
Events marketing skills and added advantage

·      
Possess a positive attitude, outgoing, extremely
friendly with appreciation for brand driven standards

Previous experience dealing with brides and
grooms

·      
Proven track record in sales performance with
clear ability to convert business

Target driven with excellent presentation and
negotiation skills

Excellent communication skills

Excellent organisational skills & attention
to detail

Ability to work under pressure

Highly flexible

·      
Willingness to work long hours especially during
weekends

Age: Below 30 years
