plays an important role in international affairs through diplomacy, trade,
development aid and working with global organisations. Abroad, the EU is
represented through more than 140 diplomatic representations, known also as EU
Delegations, which have a similar function to those of an embassy. The EU
Delegation to Uganda is supporting Uganda’s priority needs which include the
need to foster sustainable development by sound governance and macro-economic
policies, improved connectivity of national and regional transport
infrastructure and strengthening of agriculture.

Job Summary:  The Secretary/Personal Assistant to the
Political, Press and Information Section will support the overall political,
administrative and press & information activities

Key Duties and Responsibilities: 

  • Supporting the Section and the Head of Delegation in preparing EU
    Head of Missions and Political Advisors’ meetings
  • Supporting the Section with various administrative tasks.
  • Arranging meetings with government officials, CSOs and other
    stakeholders for the Head of Political Section and the Head of Delegation.
  • Keeping an updated contact list and be the specialist in organising
    the Section’s contacts and network
  • Supporting incoming and outgoing missions by organising meetings,
    accommodation and other administrative tasks
  • Supporting the Press & Information Officer in press and
    information activities, including managing the Delegation’s social media
    and website
  • Supporting the Press & Information Officer in organizing
    relevant Calls for Tender
  • Supporting the Delegation in the planning and organising of EU
    public events such as public lectures, seminars and cultural events
  • Processing payment requests in the section in liaison with
    Administration.
  • Filing section documentation, both electronically and in hard copy.
  • Having a good overview of the tasks performed in the Section in
    order to support in planning and organising work

Qualifications, Skills and Experience:

  • The applicants for the European Union Secretary/Personal Assistant
    to the Political, Press and Information Section job opportunity should
    hold a secondary education, preferably with a focus on secretarial
    activities
  • At least three years of relevant experience, preferably in an
    international environment..
  • Experience in supporting and assisting a section or unit, and in
    coordinating the tasks performed there.
  • Basic understanding about the European Union and its role in Uganda
  • Solid understanding of the political situation in Uganda
  • English – ability to understand C2, ability to read C2, ability to
    speak C2, ability to write C2
  • Very good knowledge of PC usage and applications related to MS
    Office, MS Excel, MS Power Point, Internet etc.
  • Proven ability to work in a multicultural team
  • Strong sense of initiative
  • Attention to detail and ability to execute duties with accuracy
  • Flexibility
  • Good organisational skills
  • Proven ability to work under time pressure, good stress management
  • Ability to communicate clearly and with confidence, both orally and
    in written form
  • Networking skills to support the Section in developing  contacts 
  • Reliability and responsibility

  • Experience in use of social media tools (Facebook and Twitter)
