established in 1972. The Bank has recently re-positioned itself as a partner to
the Government of Uganda in delivering the theme of its National Development
Plan.
Job Summary: The Executive Assistant (EA) shall provide
strategic, high-level administrative and where needed technical support to the
Managing Director in executing his/her roles including coordinating and
management of projects and strategic initiatives under the MD’s office. The
duties will also among others include preparation for internal and external
strategic engagements, research and prepare relevant information and reports to
support the engagements. This position shall often be privy to confidential
information and as such shall require diplomacy and discretion.
Key Duties and Responsibilities:
- Identify and build strong and effective strategic networks which are
beneficial for long term benefits of the bank. - Provide high-level executive advice to the Managing Director on the
assigned strategic tasks in due time. - In collaboration with the EXCO team, set the strategic direction for
the Bank on matters regarding external strategic initiatives and follow up
execution of the same. - Identify key strategic contact persons for effective relationships
with targeted stake holders for the effective execution of the Bank’s
Mandate. - Network with both internal and external parties in order to foster
positive professional in-depth understanding of key external stakeholders
and their relevance to the bank - Acts as a focal point for the banks ‘potential business
opportunities of a strategic nature. - Take confidential minutes and keep record for the MD’s Strategic
meetings, carries out research, prepares hand outs and reports relating to
such meetings. - Respond to queries of strategic nature directed to the MD’s office
and redirect to relevant parties for successful execution. - Support the MD in all aspects of office work including scheduling
appointments of strategic nature, producing agendas for strategic
meetings, prepare MD’s presentations in a standard format. - Support the MD in preparation and presentation of reports,
proposals, budgets and related activities in developing relationships with
stakeholders & partners. - Represent the MD at such strategic engagements where appropriate.
Key Outputs
- A healthy and effective pipe line of strategic initiatives and
engagements - Existence of positive and effective synergies within and outside the
bank strategic partners - Timely and excellent execution of all matters pertaining to the role
- Quality reports, presentations and meeting briefs documents.
- Timely and professional responses/ feedback to all inquiries issued
to the MD’s office. - Provide high-level executive advice to the Managing Director on the
assigned strategic tasks in due time. - Serve as point of contact for all internal and external stakeholder
engagements on all matters pertaining to the MD’s office - Organize and coordinate any key external relations under the MD’s
office
Qualifications, Skills and Experience:
- The ideal candidate for the Uganda Development Bank Executive
Assistant job must hold a Master’s degree in a Business-related field or
Economics or courses in humanities will be an added advantage. - Should possess an internationally recognized professional
qualification. - A bachelor’s degree in business or humanities disciplines.
- Five years of experience of supporting a Chief Executive/Managing
Director in a fast growing corporate organization or other cognate
experience. - Ability to work independently with little or no supervision
- Ability to multi-task and pay high level of attention to details.
- High-level written, oral communication and presentation skills i.e.
(ability to communicate and liaise effectively and sensitively to both
internal and external stake holders). - High degree of professionalism and judgment.
- High level organization skills.
- Ability to balance conflicting priorities in order to meet work
deadlines - Ability to nurture productive relationships, in a vibrant team
environment. - Proficiency in Microsoft packages
