Mentoring Foundation (TMF) is a fully registered Non-Government Organization
that was started as an initiative in 2013 by former child mothers who turned
their negative experience into a positive action. The organization`s mandate is
to promote gender equality and empower adolescent girls and young women through
holistic programs that address their critical needs while putting greater
emphasis on ending teenage pregnancy., child marriages and supporting girls to
stay in school and complete school. The organization envisions a generation
where all girls are in school, empowered and enjoying their childhood. The
mission of TMF is to contribute towards increased retention of girls children
in schools through ending teenage pregnancy and child marriages in Uganda.

Job Summary:  The Administrative Assistant will perform a
variety of administrative and clerical tasks. Duties of the Administrative
Assistant include providing support to our managers and employees, assisting in
daily office needs and managing our company’s general administrative
activities. Other responsibilities include making travel and meeting
arrangements, preparing reports and maintaining appropriate filing systems. The
ideal candidate should have excellent oral and written communication skills and
be able to organize their work using tools, like MS Excel and office equipment.
Ultimately, a successful Admin Assistant should ensure the efficient and smooth
day-to-day operation of our office.

Key Duties and Responsibilities: 

  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters,
  • Photocopying, scanning documents.
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
    (re-orders, requisition, issuance and stock control)- in-charge of stores
  • Maintain and regularly update the contact lists
  • Book, arrange and coordinate staff travel arrangements
  • Submit and reconcile expense reports
  • Act as a receptionist: Answer and direct phone calls and Act as the
    point of contact for internal and external clients.
  • Ensure general office cleanliness.
  • Reconciliation of utilities

Qualifications, Skills and Experience: 

  • The applicant should hold a Bachelor’s degree in any field;
  • Proven experience as an administrative assistant or office assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and
    photocopier, scanner.
  • Proficiency in MS Office (MS Excel, MS Word and MS PowerPoint, in
    particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
