Baylor College of Medicine International Paediatric AIDS Initiative (BIPAI), a
Network of paediatric HIV/AIDS care and treatment Children’s Clinical Centres
of Excellence and international program offices in 11 countries across Africa,
Eastern Europe and North America.
Job Summary:  The Finance and Administration Assistant will
be responsible for providing financial and administrative support services to
cluster teams including implementation of policies and procedures for general
office administration, fleet, asset, and inventory
Key Duties and Responsibilities: 
·        
Process payment
vouchers and cheques relating to supplier’s invoices for goods supplied and
services rendered
·        
Prepare funds
transfer letters for review & approval and write cheques for approved
payments ,
·        
Prepare the
monthly payroll including remittances to be made to the relevant statutory 
·        
Develop and
maintain  fixed assets register and a
proper filing & storage system for receipts, payment vouchers and other
financial related documents;
·        
Prepare cluster
cash requisition schedules;
·        
Process program
advances to staff for program activities as per the approved budget;
·        
Act as
an agent to bank accounts coordinating 
and monitoring all transactions between the bank and Baylor;
·        
Conduct a
weekly review of staff advances;
·        
Keenly monitor
the implementation of monthly & quarterly travel planning and make  appropriate vehicle scheduling and
allocations;  
·        
Develop and
implement a   servicing and repair
schedule for timely routine servicing and 
repairs of the motor vehicles and motorcycles;
·        
Prepare monthly
trip reports, fuel consumption reports and vehicle repair and routine  XCmaintenance reports;
·        
Monitor usage
of motor vehicles by use of  fleet
monitoring system to track trip movements, fuel usage  related reports; 
·        
Tasked
with the verification of all utility bills, security, cleaning and vehicle
repairs with supporting documents



Qualifications, Skills and Experience: 
·        
The
ideal candidate for the Baylor-Uganda Finance and Administration Assistant job
must hold a Bachelor’s Degree in Commerce, Accounting or Business
Administration.
·        
A
minimum of two years of experience in a reputable organization
