Job Summary:  The Human Resource Assistant will be providing
clerical and administrative support for the Human Resources functions, and for
the development and maintenance of policies and procedures. The incumbent will
be assisting with day to day operations of the HR functions and duties
including Recruitment and Selection, orientation of new staff, and staff
training activities. The jobholder will be keeping personnel records/data
updated

Key Duties and Responsibilities: 

Personnel
recruitment & selection

  • Downloads applications from the GIZ recruitment email or any other
    designated site and stores them on a dedicated, protected electronic
    location
  • Manages the scheduling and logistics of all interviews including
    sending invites to shortlisted candidates, organising interview venue, and
    clarifies for candidates any issues related to the recruitment process
  • Prepares candidates for interviews by providing detailed information
    on the location, and any other important information
  • Participate in interviewing staff in Band 1-2 as delegated by the
    Line Manager
  • In consultation with the Line Manager, prepare draft employee
    contracts using standard GIZ templates for Band 1-2
  • Receives and responds to management inquiries involving job
    applications, status and processes
  • Files the documentation for each selection process in a consistent
    manner, archives the documentation ensuring confidentiality
  • Assists with notification of unsuccessful applicants (Band 1-3),
  • Participates in the preparation for induction for new staff.
  • Personnel records/data and general HR support
  • Complies and updates employee records/data (hard and soft copies)
    and ensure documents are complete, up to date and stored in an easy to
    access system
  • Creates personnel files (paper and electronic) for all new staff and
    ensure documents are complete and updated in a timely and accurate manner
  • Assists the HR Advisor in collecting general (e.g. next of kin) and
    advances, additional insurances, training agreements or any other form of
    one-off agreements are properly documented, signed and filed according to
    their confidential nature.
  • Appropriately and timely filing of HR information materials in DMS
  • Assists the HR Officer to maintain trackers for recruitment, leave
    and other trackers that may be required to manage general human resources
    information
  • Timely and proper / secure filing of all HR related documents
  • First level support to employees regarding human resources issues,
    rules and regulations
  • Assist in taking minutes during meetings and photocopy/scan
    documents when required
  • Participate in formulating departmental goals and objectives to
    improve on standards and increase productivity.

Other
duties/additional tasks

  • Keeps him/herself abreast with new regulations (internal and
    external) which impact on HR topics
  • Performs other duties and tasks at the request of management.

Qualifications, Skills and Experience: 

  • The applicant must hold a Bachelor’s degree in Human Resources
    Management or Business Administration, Law or Social Sciences (preferably
    with a focus on HR Management) or comparable degree
  • One to three years of professional experience in a comparable role
  • Good working knowledge of ITC technologies (related software, phone,
    fax, email, the internet) and computer applications (e.g. MS Office)
  • Good working knowledge of national labour and general law
  • Basic knowledge of HR management
  • Excellent command of the English language
  • Strictly confidential handling of all HR issues
  • Good interpersonal communication skills
  • Excellent organizational ability
  • Willingness to upskill as required by the tasks to be performed
    corresponding measures are agreed with management.
