About US:
The MRC/UVRI Uganda
Virus Research Unit on AIDS was established following a request in 1988 from
the Uganda Government to the British Government for collaboration on the
research of HIV (Human Immunodeficiency Virus) infection and AIDS (Acquired
Immunodeficiency. The Unit is a center of excellence in HIV/AIDS related
research. It conducts large-scale epidemiological and intervention studies,
clinical trials, virological and immunological research and behavioural
studies, and has generated a wealth of research results that have been used to
inform policy and practice that have led to a large number of scientific
publications in peer reviewed journals over time.
Job Summary: The Grants Assistant will provide
Administrative and Logistical support to the Grants Support Office, paying
special attention to allocated project Funds.
Key Duties and Responsibilities:
- To provide support in the organisation and documentation of the
allocated project Trial Steering Committee meetings and any other planned
trial meeting. - To establish a robust procurement programme, plan to determine
appropriate specifications of required items, according to established
Unit guidelines and procedures and in coordination with the procurement
team and the end users. - Support timely raising of allocated project’s invoice for external
projects are in line with the grant contract and following up on
outstanding debts. - Compilation of support paperwork (for donors who request for them)
and arranging them as per the ledger listing. - Ensures that all internal recharges such as mileage and cost of
laboratory tests are entered in the MS Dynamics accounting system
(Navision) for project operations. - Prepares monthly reconciliation and Analysis of grant balances for
review by the Senior Grants Officer. - Maintains and ensures safe custody of financial documents and copies
of external grant contracts and other correspondences. - Provides support during MRC or donor audits by availing requested
documentation. - Updating monthly time sheet template, and following up to ensure staff submit on time.
- Update the RSO contract tracker on a weekly basis with new
submission/ pipelines and active grants. - Develop funds monitoring tracker for active Grants-Especially those
under allocated project. - Follow up with Accounts Office and ensure all mispostings are
corrected and posted before the submission of final donor reports. - Assists grant applicants in preparing a budget (for final review and agreement by
the - Grants Officer) and submitting the financial part of a grant
application. - Provides the grant holders with regular monthly financial information showing expenditures
to date and projected costs until the end of the project. - Ensures that grants recharge overheads are costed on a full economic
basis. - Chase sets up of new grant codes and ensures that the grant holders
and other departments who will be using them are updated. - Perform any other duty as assigned by the Head of Section
Qualifications, Skills and Experience:
- The ideal candidate for the Medical Research Council
(MRC) UK / UVRI) Grants Assistant job must hold a Bachelor’s
Degree in Business Administration, or Commerce (Honours) or a related
field - At least two (02) years’ work experience in a busy
grants/international donor-funded organization preferably in Grants
Management. - Experience working in a health research institution
- Should possess excellent computer skills, knowledge of Microsoft
Office e.g. Word, Excel and Database management skills, office equipment
(printer, fax, copier, and scanner). - Working knowledge of MS Dynamics-Navision; AGRESSO system
- Organized with excellent attention to detail
- Excellent organisation and management skills
- Excellent communication skills (written and verbal) with ability to communicate
throughout all levels of the organisation. - Ability to work independently and as part of a team
- Ability to work under pressure and to meet tight deadline
