Job Summary: The Administrator will ensure implementation
of KOICA office policies, create and maintain all administrative records in a
positive and friendly agency image through; corporate communication; offer
support in organizing travels for staff.

Key Duties and Responsibilities:
- Work in close collaboration with requesting unit, draft
specifications for all goods and services. - Estimate costs and solicit quotations/ proposals in accordance KOICA
regulations. - Prepare request for Bids, Quotes and Proposals and collect proposals
/ quotations / proforma invoices from suppliers following the purchasing
procedure of the organization. - Place orders on time and follow up to ensure timely delivery of the
items or service and report as appropriate to the immediate supervisor and
the requesting unit on the status of the order. - Obtain documentation to clear shipment of goods free of duty and
customs - Establish procedures for the operation maintance of the office.
- Supervise the work of service providers including; IT services,
Security and cleaning. - Manage the office budget for all on going services and costs (e.g.
Rent, utilities, supplies, maintenance, and telephone) for all offices and
residences. - Maintain lease agreements and utilities accounts for offices.
- Ensure proper record systems is in place to track usage.
- Coordinate the recruitment of new staff, and the preparation and
maintance of complete employment files for all staff. - Orient new employees on corporate policies and benefits.
- Enroll new local staff in the health insurance plan.
- Other tasks as assigned by the Country Director.
Qualifications, Skills and Experience:
- The applicant must hold a Bachelor’s degree in Business
Administration, Management or other relevant field. - Two to three years relevant professional experience on office
administration, operations, procurement, human resources, or relevant
experience. Two or more years of experience with an International
organization is desirable. - Excellent writing, computer and organizational skills.
- Proven ability to work closely wit a variety of project
stakeholders, including local senior and support staff, Home office staff,
consultants, vendors and subcontractors to work collaboratively to solve
administrative and operational problems as they arise. - Proven ability to independently plan and execute complex tasks while
addressing daily management demands - Strong interpersonal and communication skills and the ability to
work effectively with a wide range of constituencies in a diverse
community. - Ability to draw conclusions and make recommendations based on
research data and findings. - Skill in the use of personal computers and related software
applications. - Good program planning and implementation skills.
- Knowledge of communication principles, media and marketing
techniques. - Skill in organizing resources and establishing priorities.
- Ability to manage and facilitate educational programs
- Advanced writing and editorial skills.
- Knowledge of finance, accounting, budgeting, and cost control
procedures. - Experience working with donor agencies is preferable.
- Ability to perform in a dynamic and fast- paced work environment
with limited supervision. - Willingness to bring innovation, tackle challenges and produce
deliverables within assigned timeline. - Communication Skills
- Excellent communication and presentation skills in English and
Luganda - Excellent oral and writing skills in above languages is , a must
- Good computer skills
- Proficient in Microsoft Office, Excel, Powerpoint ,access and other
applications of wide usage; - Previous experience and effective use of internet communication
gadgets a must.
