Job Summary:   The Procurement and Logistics Officer will lead the procurement
process, provide procurement expertise and assist stakeholders to plan,
develop, source and manage procurement arrangements and provide necessary
logistical support to effectively meet organisational and business objectives.
Excellent interpersonal skills,  being
systems oriented, with high integrity, customer service, and strong
personality. You shall join an overachieving team that is positioning Educate!
to be the leader in skills-based secondary education in Africa and intensively
impact one million youth each year by 2024.
Key Duties and Responsibilities: 
Procurement
  • Implement the procurement policy and strategy and promote purchasing
    best practices to maximize savings.
  • Ensure procurement processes are complete, accurate, documented and
    in  compliance with relevant laws
    & E! Policy.
  • Draft bidding documents, establish evaluation criteria and offer
    technical   assistance to the
    procurement committee
  • Anticipate procurement needs to pre-select competitive vendors, and
    create systems to track and strategically guard against common procurement
    challenges
  • Liaise with user departments to prepare an annual procurement plan
    to ensure timely closure of procurement needs.
  • Ensure proper documentation for all procurement requests before
    presentation for authorization.
  • Coordinate the awards to the best bidder and draft a contract for
    the selected vendor.
  • Ensure that standard operating procedures for the procurement
    function are understood and applied by staff.
Research &
Verification
  • Provide support to the administrative coordinator in maintenance of
    office equipment
  • Liaison point between service providers and the users 
  • Execution of contractual agreements for service and maintenance of
    office equipment and other office machines including official mobile
    phones, photocopier and computers.
  • Ensure service and 
    maintenance records for all equipment are up to date and well
    maintained
Quality Control
  • Checks quality of materials or services to ensure consistency with
    requirements through quality monitoring from initiation to usage.
  • Conclude procurement within the time the stipulated timelines
  • Ensure there are operational  
    controls of the facility 
    services such as telephone, internet, reception, security etc.
  • Ensuring  the maintenance  and optimization of  Head Office IT infrastructure  and systems;
  • To  ensure  the proper  safety of the  procurement documents
  • Ensuring that the  files are
    arranged in order of their reference for easy access
  • Suggest improvements based on regular staff feedback and respond to
    challenges within stipulated timelines.
Office Management
  • Manage the support staff team towards the achievement of Admin
    termly goals and the maintenance of a clean safe and secure working
    environment.
  • Ensures the office premises are kept clean and safe, on a daily
    basis.
  • Create and implement systems of security best practices and carry
    out regular spot-checks and other initiatives.
  • Enforce security protocol for equipment & supplies
  • Oversee repairs for often-used facilities and request improvements.
  • Oversee distribution of keys and guest sign in
  • Monitor service delivery
  • Proactively build team capacity by delegation of new tasks and
    training to close capacity gaps

Qualifications, Skills and Experience: 
  • The applicant must hold a Bachelor’s degree in Procurement and
    Logistics Management, Supply Chain Management or any relevant field
  • Two years of professional experience
  • Proficiency with MS Office Suite, with excellent MS Word and Excel
    skills
  • Experience working in a fast – paced environment, set priorities,
    work independently as well as thrive a team
