Executive Assistant
(JMS) is a Church founded private not-for-profit organization whose mission is
to supply medicines, medical equipment and related healthcare services, and
training of assured quality to the people of Uganda at affordable prices. It
was established in 1979 as a joint venture between the Uganda Catholic Medical
Bureau (UCMB) and the Uganda Protestant Medical Bureau (UPMB).
Administrative Assistant will provide and coordinate high level administrative
and clerical functions of the Management Team for the smooth running of their
offices while maintaining confidentiality and exercising sound judgment.
- Handle clerical duties (scanning, photocopying, binding, etc.)
- Create and maintain schedules and data bases of activities and
following up as and when they fall due. - Draft and file routine correspondences.
- Organise meetings, following-up on logistical arrangements and
confirmation of attendance of participants. - Compile emoluments and allowances and provide accountability.
- Providing hospitality to visitors to EDs office, responding to
and/or escalating their requests as may be necessary. - Work with the Human Resource & Administration Department with
regard to routine clerical functions. - Make travel arrangements, and prepare requests for travel
reimbursements for the Officers. - Draft letters and documents; collect and analyze information as
instructed. - Produce information by transcribing, formatting, inputting, editing,
retrieving, copying, and transmitting text, data, and graphics as need be. - Devise and maintain office systems, including data management and
filing; - Receive, screen and direct visitors to the ED’s Office
- Diploma or Degree in Secretarial Studies or its equivalent
- Training in Office, Records and Information Management
- Membership to the Institute of Certified Secretaries and
Administrators is desired - One year of experience as Secretary or Administrative Assistant in a
busy organization - Good planning and organizational skills
- Information /Records Administration;
- Dependable, honest and able to maintain confidentiality
- Good team player with strong interpersonal skills
- Well-developed oral, written (report writing) communication skills
- Self-motivated, able to prioritize work and follow up tasks and
issues to the end - Proficiency in MS Office applications (Word, Excel, Power Point,
Email)
