Diseases Institute (IDI) is an international non-profit organization which is a
partnership of infectious diseases and public health specialists. The overall
objective of the IDI is to strengthen health systems with strong emphasis on
Infectious Diseases, through Research and Capacity Development. IDI has five
operational areas through which it works to achieve its mission: Prevention,
Care and Treatment; Training, Research and Laboratory services (provided
through a partnership with the Makerere University – John Hopkins University
Core Lab) and Outreach.
the above mission, the Global Health Security Project under IDI has received
funding from the UK Department of Health and Social Care through the Mott
MacDonald, a management agent to implement the multi-national Fleming Fund
Country Grant. This grant is to address critical gaps in the surveillance of
antibiotic resistant bacteria in Uganda through investing in laboratory
infrastructure enhancement, human resource strengthening and workforce reforms,
surveillance systems strengthening, building foundations for Antimicrobial
Resistance (AMR) and Antimicrobial Utilization/Consumption (AMU/C) surveillance
data use and promoting rational use of antimicrobial medicines. The major aim
of the project is to improve AMR and AMU/C surveillance data to inform policy
and practice at national and international levels. The overall goal is to avert
the human and economic burden of antimicrobial resistance (AMR). In order to
fully support the implementation of the project, Global Health Security
Program-IDI seeks to recruit for the following positions as follows:
Finance and Administrative Assistant will provide finance, administrative and
secretarial support to the project and staff. He/she will participate in
drawing of periodic work plans/budgets-in relation to the set targets, account
for all the project field funds and ensure proper utilization of project
assets, equipment and logistics. The jobholder will also develop a database of
contact information; maintain distribution lists for various kinds of project
communication and schedule all project meetings; attend and take minutes as
appropriate.
- Support day to day project activities and participate in drawing of
periodic work plans/budgets-in relation to the set targets. - Ensure safe custody and account for all the project field funds and
ensure proper utilization of project assets and equipment. - Provide technical guidance on accountability compliancy for any
funds issued. - Assist project teams in the activities budget review and editing
process. - Assist in the preparation financial reports on a monthly, quarterly
and annual basis. - Develop monthly schedules to allocate use of the project vehicle,
supervise the driver. - Support in the management of project resources such as human
resources, finances, vehicles among others. - Assist with all aspects of administrative management, directory
maintenance, logistics, equipment inventory and storage. - Managing inventory of assets and supplies, monitoring critical level
of stocks and coordinating between project operating units in resolving
day-to-day administrative and operational problems. - Scheduling and coordinating all appointments and meetings both staff
and those forother stakeholders as scheduled. - Preparing meeting minutes, meeting notes and internal support
materials and managing staff leave schedules and maintain an updated staff
project leave tracker - Any other duties assigned by the supervisor from time to time.

and Administrative Assistant job must hold a Bachelor’s degree in Business
Administration, Accounting, Finance or any related field - A professional course i.e. ACCA, CPA is an added advantage
- At least three years of experience working in finance/accounting in
a not-for- profit institution in a heath sector. - Strong computer skills in at least word, power point, spreadsheets,
excel and database programmes. - Experience in logistics and inventory management
- Ability to work in a dynamic environment and exhibit high level of
flexibility and speed.
