FIG Consult Limited is recruiting for an events management company. 

Job Summary:  The Operations / Events Management Planner is
responsible for all aspects of meeting planning, coordinating and executing
activities and logistics related to small and mid-size events to large scale
conventions, incentive trips, leadership meetings and specialty events. A
critical aspect of this position is to provide strategic support to our
stakeholders & leadership and the individual must possess the skill of
conceptualization which is the ability to see how the elements of an abstract
whole fit together and to identify problems that need to be addressed before
others do.
Key Duties and Responsibilities: 
  • Manage
    single tiered events including but not limited to tradeshows,
    sponsorships, conferences, external & internal meetings, and client
    dinners
  • Creating/maintaining
    best practices and standardized templates for budgets, project plan, event
    timelines, event presentations and more.
  • Provide
    detailed trade show and event strategies, tactics and budgets for fiscal
    year marketing plans that support business unit / corporate strategic
    plans.
  • Event
    research: may include venue (hotels, restaurants, museums, outdoor venues)
    accommodations, air/ground transportation, dining and activity options;
    speaker/entertainer search, registration creation, and any logistics needs
    related to management of an event.
  • Site
    inspection, selection and review of contracts
  • Maintain/update
    the Calendar
  • Maintain/update
    shared resources files
  • Manage
    giveaways (research, order, inventory)
  • Pre/During/Post
    Event tasks may include, but not limited to: budget creation, management
    and tracking spend; registration management; managing food & beverage;
    organizing entertainment & social gatherings; ordering
    signage/displays, assessing audio-visual needs; printing;
    shipping/tracking; providing onsite support as required
  • Post
    event follow up includes event case study, meeting recap, event surveys,
    review of invoices, expense allocations and processing of payments.
  • Maintain
    suppliers’ invoices, travel & expense reports, financial records, and
    billing records submitted to clients for events and prepare reports via
    excel
  • Assist
    with data entry and/or lead reporting efforts
  • Develop
    metrics and processes to measure event and show success and proactively
    provide analysis and recommendation to management for continual program
    improvement.
  • Must
    be able to problem solve and come up with solutions to issues and ensure
    stakeholders’ needs are met.
  • Ability
    to analyze root causes of problems in a systematic approach and develop
    new ideas to improve.
Qualifications, Skills and Experience: 
  • The
    applicant must hold a Bachelor’s degree in Marketing or Communications
    preferred.
  • Three
    to five years of experience in Event Planning.
  • Experience
    in an events management or logistics / transportation company is strongly
    desired
  • Project
    management skills
  • Familiar
    with a variety of Marketing concepts, practices, and procedures.
  • Relies
    on extensive experience and judgment to plan and accomplish goals.
  • A
    wide degree of creativity and latitude is required.
  • Good
    interpersonal skills
  • Strong
    personal drive
  • Highly
    assertive
  • Good
    coordination skills
  • Proficiency
    in Microsoft Office Applications (Microsoft Word, Excel & Power Point
    knowledge a must)
  • Strong

  • Ability
    to work in a fast paced environment with little to no supervision
  • Extreme
    attention to detail and ability to multi-task with short deadlines
  • May
    require prolonged standing during onsite support
  • Light
    physical effort required (packing, unpacking, shipping, event/exhibit
    install/dismantle).
