- Taking dictations and transcribing by typing and presenting accurate
and error free work for signature and
transmission; - Ensuring timely responses to
inquiries and correspondences to and
from the office; - Organsing meetings, taking minutes
and conveying decisions of such
meetings to the relevant Officers/Offices; - Ensuring that relevant
documents for Meetings
and speeches are timely produced
and organized; - Filing Minutes, correspondences and other documents;
- Receiving callers either in person or on telephone and making
appointments by keeping the
Senior Officer’s diary up to date; - Maintaining files in proper order and in accordance with security and office
procedures; - Drafting letters and other material of simple or routine nature;
- Replying simple inquiries and invitations;
- Supervising other Secretarial Staff and Support Staff under the office;
- Maintaining office cleanliness and orderliness;
- Managing and accounting for office equipment, materials and imprest;
- Appraising performance of Secretarial Staff and supervising support staff;
- Perform any other duties as may be assigned from time to time.
- Applicants should be Ugandans in possession an Honours Bachelor’s
Degree in Secretarial Studies, or any other relevant qualification in
Secretarial Studies from a recognized University/Institution. Applicants
should possess computer skills using several packages such as Word
Processing, Spreadsheet and Database Management. - Age: Above 21
years
