Title: Personal Assistant to the Chairman/MD

International Ltd is a Pharmaceutical Company based in Kampala – Uganda,
dealing in Importation & Distribution of Human and Veterinary Medicines,
Nutritional products, Agent & Local Technical Representative (LTR) for
several Manufacturers from Europe and Middle East.
Personal Assistant (PA)
works closely with
the Chairman/MD to help ensure
the efficient administration
and day-to-day operations
of the Chairman/MD’s office
and support the
completion of selected tasks
and specially delegated
assignments. She will serve as a liaison and focal person in support of
Goodman International LTD Senior Management Team and Advisory Board.
- Maintain the Chairman/MD’s calendar and schedule Meetings as
required by the Chairman/MD. - Manage Office correspondence with individuals and Agencies on behalf
of the Chairman/MD. - Research, prioritize and follow
up on incoming issues and concerns addressed to the
Chairman/MD and propose appropriate courses of action, referral, or response where
appropriate. - Work in close consultation with the
Chairman/MD, update
delegated tasks with
relevant Departments and
Units to ensure progress to deadlines and that completed documents are
delivered accurately. - Arrange and handle detailed travel plans with all the related
documentation. (Including Reservations and Itineraries) - Convene and or Co-ordinate requests for relevant meetings inside and
outside Goodman International LTD and support in the planning and
preparation of such meetings on behalf of the Chairman/MD. - Handle incoming and outgoing communication with great tact,
discretion and judgement. - Work closely with departmental Heads to coordinate Chairman/MD’s outreach activities thus organise materials for
presentations to
external stakeholders and
maintain close liaison
with the all related departments. - Maintain an appropriate and effective filing system both in soft and
hardcopy formats for the Top Office. - Perform general Secretarial duties including but not limited to
typing, photocopying, filing, mailing, updating the Directory. - Perform any other duties assigned.
- The applicant should preferably hold a Bachelor’s Degree in Public
Relations, Office and Information Management or International Business. - A minimum of three years of proven experience in a similar or
related position - Computer Literate with a good command of English both spoken and
written. - Strong communication skills
- Ability to execute Administrative Processes and Transactions with
minimum supervision - Ability to perform work of confidential nature and handle large
volumes of work - Ability to maintain calm and composure even under pressure
- Focused on results and responds positively to feedback
- Good organizational and multi-tasking skills
- Excellent knowledge of MS Office Applications.
- Age: Below 32 years
