InterAid Uganda Limited (IAU) is a non-governmental
humanitarian national organization established in 1988, and duly registered
with the NGO Board and NGO Forum. IAU is actively involved in programs geared
towards the protection and improvement of lives of disadvantaged people living
in urban and rural areas in Uganda and in the Great Lakes Region. InterAid
Uganda is focused on its thematic areas of Rights Protection, Education,
Livelihood & Food Security, Health (HIV&AIDS; Malaria; Maternal and
Reproductive Health), Water, Sanitation & Hygiene (WASH), Environment and
Disaster Management and good Management and Governance systems.
Job Summary:  The Administrative Assistant will coordinate
the administrative, storage and stock control functions and ensure adherence to
the stock management system with a view of increasing efficiency and minimizing
costs.
Key Duties and Responsibilities: 
Strategic Direction
  • Manage/ oversee the
    receipt, storage, requisition of supplies and materials.
  • In charge of management
    and maintenance of all office premises
Process management.
  • Ensure that office premises
    and other office premises including medical hostel and Community Centre
    are clean and well maintained including the assets.
  • Ensure that stores are
    properly arranged for proper storage, maintenance and inspection.
  • Perform stock counts as
    and when required.
  • Maintain the stores in a
    clean and orderly condition.
  • Ensure that the stores are
    correctly locked.
  • Carry out the periodic
    stores reconciliations i.e. monthly, quarterly, semi – annual and annual
    in all stores.
  • Request for new stock to
    the stores whenever the store stock levels for store items so require.
  • Compile periodic reports
    and ensure timely submission to the Supervisor.
Records management.
  • Ensure the proper records
    management of all office equipment in all office premises.
  • Ensure that goods in stores
    are recorded properly and issued against authorized stores note.
  • Ensure that proper records
    are maintained in all stores.
Support to staff & other Managers: Provide supportive
supervision to the office attendants
Risk Management
  • Control access to the store
    and ensure safe custody of all IAU stocks as per the set standards.
  • Ensure proper stock
    identification especially the hazardous materials.
  • Ensure proper lighting in
    the store is maintained.
Compliance: Ensure that stores policies and procedures are complied
with and by all staff.

Qualifications, Skills and Experience:
  • The ideal candidate for
    the InterAid Uganda Limited (IAU) Administrative Assistant job opportunity
    should preferably hold a Bachelor’s Degree in Business
    Administration, Social Sciences, Development Studies, Logistics and Stores
    Management or any equivalent from a recognized institution
  • Professional training in
    stores management is added advantage.
  • At least two years of
    relevant experience in stores management, inventory control and record
    keeping
  • Knowledge of proper
    bookkeeping and inventory management
  • Excellent written and
    verbal communication skills
  • Competencies in data
    entry, analysis, and management
  • Keen attention to detail
    and ability to effectively manage time
