behalf of its valued Client. The client is one of the leading multinationals companies
in the gas and electricity sector with a global presence, operating in 30
countries and with nearly 18 million customers. The Company’s fully owned
subsidiary in Uganda is focused on the operation, maintenance and management of
hydro-power stations. The Company requires competent individuals for various
positions for a hydro power plant in Achwa, near Gulu in Northern Uganda.
Job Summary:    The
Admin Support, Warehouse & General Purpose will carry out human resources
activities under the direction of the Plant Manager and performance of
administrative activities. Periodically, provide reliable accounting
information in compliance with relevant procedures of organization and the
local tax authorities regulations. Responsible for warehouse operations and
records keeping
Key Duties and Responsibilities: 
Warehouse and
General Purposes:
  • Effective custody and control, maintenance, administration of the
    warehouse inventory and implement general & specific procedures.
  • Planning, organizing and controlling of Warehouse’ overall
    operations.
  • Track and record spare parts management utilizing the facility CMMS.
  • Manage stock control: receipt, storage, retrieval and timely
    delivery of materials; off loading & transferring; document recording
    and data entry into system.
  • Execute the reception role of purchased materials as per the
    specifications.
  • Ensure that workplace’s health and safety requirements are met and
    take responsibility for the security of the building and stock.
  • Issue Inventory report, IN/OUT status monthly report and consumption
    report. Initiate and coordinate the annual stock taking exercise of
    inventory.
  • Implement cost reduction principle in all aspects of warehouse
    transactions and activities.
  • Plan and coordinate maintenance and cleaning duties to keep
    equipment and work areas clean and safe. Collaborate in the maintenance
    activities over spare parts and tools.
  • Constantly plan out all warehouse resources and activities in
    relation to company objectives and set targets (replenish). Maintain
    stocks of spares and consumable above the minimum required levels.
  • Organize smooth flow of all activities and assign jobs accordingly
    for the warehouse staff.
  • In charge managing internal & external contracts and timely
    communication in confirmation or renewing or terminating them.
Admin. & CSR:
  • Establish, prepare and implement local administrative procedures.
  • In charge of managing internal & external contracts and timely

  • Provision of administrative support, office logistics, organize and
    coordinate meetings, conferences, travel arrangements and public
    relationships.
  • Administer all Corporate Social Responsibility activities with
    guidance of the Finance and Admin
  • Manager and provide monthly reports.
HR Support
  • In charge of the payroll computation thus on monthly basis must
    manage Attendance, Leaves,
  • Advances/Loans, Overtime, NSSF registration, Local service tax
    information, Utility bill payments before coordinating with Accounts
    department.
  • Ensure staffs are fit for work with sober minds and medically fit by
    effectively managing the medical schemes and periodic assessments.
  • In charge of coordinating annual staff performance evaluations.
  • Management of recruitment, retention & exits.
  • Orientation/Induction of new staffs on HR polices & procedures.
  • Management of employee welfare & other social activities.
  • Effective Communication and grievance administration.
  • Management of employee welfare & other social activities.
  • Responsible for compliance with all HR local and corporative
    regulations and policies.
Accounting Support:
  • Enter all transactions (cash vouchers, payment vouchers) in the
    prescribed Accounting System (IFS) of the company
  • Manage the accounts documents filing system
  • Prepare monthly Bank Reconciliations
  • Prepare petty cash vouchers for approval by the supervisor
  • Reconcile suppliers’ accounts to the general ledger
  • Assist in preparation of audit schedules during the external audit
  • Manage the Petty cash
  • Manage and update the fixed asset register
  • Prepare payment schedules for review by P&A before approval by
    FAM
  • Upload approved payments in NBOL system
  • Assist the procurement assistant with sourcing of suppliers,
    preparation of purchase orders and execution of other procurement duties
  • Respond to inquiries which do not require the personal attention of
    the P&A Officer
  • Manage and promote business relationships with all O&M energy
    stakeholders in connection with his or her work.

Qualifications, Skills and Experience: 
  • The applicant must hold a Bachelor’s degree in Business
    Administration, Procurement, Human Resources Management or Commerce
  • Three years of working experience with warehouse management, basic
    accounting and administration.
  • Experience establishing office systems and procedures
  • Ability to multi-task and meet deadlines required
  • Excellent communication and can work within a multi-cultural
    environment
