Job Summary: The Receptionist will be responsible for answering
incoming calls, directing calls to appropriate associates, mail distribution,
flow of correspondence.

Key Duties and Responsibilities:
- Answers telephones and directs the caller
to the appropriate associate. - Will transfer a caller to an associate’s
voice mailbox when the associate is unavailable. - Manages reception area and looks after
visitors - Takes and retrieves messages for various
personnel. - Provides callers with information such as
organisation address, directions to the organisation location, company fax
numbers, company website and other related information. - Receives, sorts and forwards incoming
mail. - Maintains and routes publications.
- Coordinates the pick-up and delivery of
express mail services (FedEx, DHL, etc.) - Provides support in the ordering,
receiving, stocking and distribution of office supplies. - Assists with other related clerical duties
such as photocopying, faxing, filing and collating. - Maintains the general cleanliness of the
entire office - Performs miscellaneous job-related duties
as assigned by the directors.
Qualifications, Skills and
Experience:
Experience:
- The applicant must hold a Bachelor’s Degree
in Business Administration, secretarial studies, or other relevant field
· - Two to three years of relevant
professional experience in front desk, or other relevant experience. - Two or more years of experience with an
international organisation is desirable; - Excellent writing, computer and
organizational skills; - Excellent interpersonal and communication
skills and the ability to work effectively with a wide range of
constituencies in a diverse community. - Records maintenance skills.
- Ability to perform in a dynamic and
fast-paced work environment with limited supervision - Willingness to bring innovation, tackle
challenges and produce deliverables within assigned timeline. - Communication Skills
- Excellent communication and presentation
skills in English and Luganda; - Excellent oral and writing skills in the
above languages, a must; - Good computer skills:
- Proficient in Microsoft Office, Excel,
Powerpoint, access & other applications of wide usage; Good experience
and effective use of internet communication gadgets, a must. ·
