Job Summary: The Administration
& Procurement Manager should have leadership experience to oversee
administrative and purchasing operations of the business and offer best
practices across all our operations in  Africa.
The Administration & Procurement manager will report to the Uganda Director
of  Finance and will work closely with
the Accounting manager and play a vital role in offering support to all
departments in the organization as well as manage and coordinate the  Procurement function ensuring best value for
money.
This position offers a unique

front lines of renewable energy and mobile payment  technology. Candidates must have a passion for
entrepreneurship, renewable energy and  sustainable
development in Frontier Markets. As the Administration & Procurement
Manager,  you will be based in Kampala,
Uganda working on managing the administrative & procurement  operations of the business, in charge of day
to day functions as well as supervising the support  staff.
Key Duties and Responsibilities: 
Procurement duties:
  • Manage
    the procurement analysis of all supplies/services ensuring detailed
    procedure and selection process is clearly outlined within the analysis
    section.
  • Coordinate
    pre-qualification of suppliers to create suppliers’ database, maintain and
    update regularly the database
  • Manage
    the Approved Supplier List. Ensure all suppliers uphold the terms and
    conditions of the agreement and in need of sourcing or changing current
    agreements coordinate with the procurement committee to facilitate any
    necessary additions and changes.
  • Conduct
    price checks on all procurement conducted and manage the process to
    negotiate strong value for money
  • Manage
    relationships with vendors, service providers, and landlord, ensuring that
    all items are invoiced and paid on time
  • Manage
    contract and price negotiations with office vendors, service providers and
    office lease and examine and re-evaluate existing contracts from time to
    time
  • Establish
    the SLAs for all service providers and suppliers and monitor its
    compliance
  • Control
    spend and build a culture of long-term saving on procurement costs
  • Ensure
    the Conflict of Interest Policy is upheld throughout all processes of
    procurement.
Administrative duties:
  • Serve
    as the main point of contact for maintenance, office improvements,
    mailing, shopping, supplies, equipment, bills, and errands
  • Oversee
    the day to day operations of the Fenix Uganda office including managing
    office support staff – caretakers, cleaners, gardeners, etc.
  • Supervise
    all maintenance activities and maintain a regular schedule of maintenance
    for the Fenix’s properties
  • Support
    the finding of an appropriate space for the Fenix Uganda office by
    contacting agents, viewing potential office locations, and making
    recommendations and ensure all rents are paid promptly.
  • Maintain
    a highly professional working environment everyday (demo units set up
    projector + whiteboard in every room, etc.) – ensuring that the Fenix
    office always looks its best
  • Safeguard
    the office, entrusted with maintaining office keys as well as management
    of all administrative issues like hygiene, stationeries, & welfare
  • Support
    the application and processing of work permits for foreign nationals by
    making the necessary follow-up with immigration
  • Coordinate
    key activities such as team meetings, workshops and/or special events i.e.
    All hands meetings
  • Ensure
    all insurance policies i.e. Medical, GPA, Risk, Good in transit, IT
    equipment are up to date and premium charges paid promptly
  • Monitor,
    supervise and ensure safety measures are incorporated into all business
    office development
  • Ensure
    any necessary transport bookings are organized in advance



Qualifications, Skills and Experience:
  • The
    applicant must hold a Bachelor’s Degree from a recognized University in
    Public administration, general administration, Procurement or related
    field.
  • Sound
    general management experience of at least 3-5 years in a senior role.
  • Demonstrate
    organizational, leadership & planning skills, including ability to
    organize human resources to attain goals.
  • Ability
    to communicate & function in a culturally diverse & change
    oriented setting with good knowledge of procurement & administration
    policies.
  • Outstanding
    written and verbal communications skills (English)
  • Very
    strong Microsoft Excel and general data analysis skills
  • Proficiency
    in Microsoft Word
  • Ability
    to work with suppliers and build long term competitive supply
    relationships
  • Ability
    to influence, communicate effectively and work with minimum supervision.
  • Proven
    experience in Business support services, must demonstrate experience and
    knowledge of managing support services in a complex environment.
  • Innovative,
    proactive & result driven.

    problem-solving skills & positive business impact. Excellent customer
    service skills and willingness to work long hours.
