Uganda
Operations Officer
is a non-governmental humanitarian national organization established in 1988,
and duly registered with the NGO Board and NGO Forum. IAU is actively involved
in programs geared towards the protection and improvement of lives of
disadvantaged people living in urban and rural areas in Uganda and in the Great
Lakes Region. InterAid Uganda is focused on its thematic areas of Rights
Protection, Education, Livelihood & Food Security, Health (HIV&AIDS;
Malaria; Maternal and Reproductive Health), Water, Sanitation & Hygiene
(WASH), Environment and Disaster Management and good Management and Governance
systems.
Officer will provide an efficient, effective and reliable filing system that is
cost effective and time saving.
Maintaining
a register book on refugees/asylum seeker files/records.
Registering
and opening new files for all clients.
Labelling
of all files and label each file cabinet for easy access.
Maintaining
a file movement book to easily trace outgoing files and know at all times where
each file is.
Ensure
that all documents are filed on proper files and neatly organized
chronologically.
Ensure
that files are properly handled and managed to avoid wear and tear.
Maintaining
file records and data in the system.
Compiling
weekly, monthly, quarterly, half year and annual reports and ensure timely
submission to the Supervisor.
Ensure
security of the records from anything that may cause damage.
Carryout
any other duties assigned from time to time by the supervisor in line with the
job
Provide
advice to staff in line with section related procedures and any information
relating to records
Mentor
and coach staff in the records department as per job requirements.
strategies to mitigate against risks that may happen on the records that may
cause loss of information.
Ensure
compliance to policies and procedures relating to the management of records.
Maintain
high level of confidentiality.
The
ideal candidate for the InterAid Uganda Limited (IAU) Records Officer job
opportunity should preferably hold a Bachelor’s degree in Secretarial Studies,
Records and Archives Management, Office and information Management or any other related course.
At least three years of relevant work experience in
a similar role.
Good knowledge of information security.
Good knowledge in filing and retrieving of documents
Excellent interpersonal skills.
Good report writing skills
