– SSU Project
Organization: Enabel 
Duty Station: Kampala, Uganda
Salary: UGX 2,000,000/= to
UGX 3,000,000 /=
Reports to: Finance and Contracting Co-ordinator
About US:
Enabel (Belgian development agency, formerly BTC), together with
different Government Ministries, are implementing the bilateral co-operation
between Uganda & Belgium.
Key Duties and
  • Ensure well-functioning and effective
    administrative, secretarial and office support to the project office
    (follow up maintenance and cleaning, internet);
  • Handle petty cash for the office and
    mobile money payments for agents and partners on mission;
  • Receive guests and partners, correspondence
    and any other office delivery;
  • Ensure systematic documentation, records
    keeping and/or an electronic filing system;
  • Timely and credible replenishment of
    requests for office imprest and its accountability;
  • Handling all communications and proper
    liaison between the main office and field offices and any other relevant
    authorities or partner;
  • Participation in preparation of quarterly
    project progress reports, work plans and project activities (upon
  • Provide logistics support to the project
    staff, and follow up on the overall management and maintenance of offices,
    assets and equipment (labelling, asset register, repairs and replacement
    of lost items)
  • Facilitate the editing of programme
  • Prepare for meetings and ensure that there
    is available space for meetings as per the requests of staff;
  • Assist in the taking minutes as requested;
  • Support to necessary arrangements for
    missions and consultants (hotel, transport, reservation, meetings etc.);
  • Perform duties as requested by the Finance
    and Contracting Coordinator.

Qualifications, Skills and
  • The applicant should preferably hold a
    Bachelor’s Degree in Social Work and Administration, Social Sciences,
    Business Administration or a related discipline.
  • A minimum of three years of hands-on
    practical experience in Administration or Project Administration in a
    reputable organization, institution or company.
  • Post Graduate Qualifications in Public
    Administration, Procurement,
  • Office management and Social
    Administration is considered an additional advantage.
  • Proven knowledge and experience in daily
    Administration & Office Management;
  • Proven experience in Petty Cash
  • Very good communication skills: both
    professional and interpersonal skills;
  • Very good computer skills, especially MS
    office programmes (Microsoft Word, Excel, Outlook and Power Point);
  • Ability to work independently and cope
    with stressful situations;
  • Ability to exercise a high level of
    integrity in handling the organizations resources (both financial and
    physical resources);
  • Ability to work within a big team and to
    remain focused in achieving the project’s objectives;
  • Ability to work and easily adapt in a
    multi-sectoral work environment;
