About NUYOK Program:
Caritas Kotido Diocese is part
of a consortium led by Catholic Relief Services (CRS) to run a five-year Food
for Peace (FFP) USAID funded program called NUYOK to build resilience to shocks,
enhance livelihoods and improve food security and nutrition for vulnerable
rural families in three districts of Karamoja viz: Abim, Nakapiripirit and
Napak – which are home to 406,880 people living in an estimated 58,126
households. Caritas Kotido Diocese through support from CRS will implement the
activities of NUYOK Programme in Abim District.
Job Summary: The Human
Resource Assistant will provide efficient general and administrative HR support
service to staff and managers. The role is critical in ensuring operational
support to the NUYOK programme through supporting all manner of administrative
tasks and requests related to general queries, processes, systems, policies and
general HR administration.
Key Duties and Responsibilities:
  • Maintain
    personnel records, ensuring timely and accurate records.
  • Explain
    employment benefits and general terms and conditions of employment to employees
    and departmental representatives; conduct initial new employee orientation
    for purposes of ensuring appropriate completion of payroll and benefits documentation
  • Provide
    support in payroll preparation by providing relevant data (absenteeism, bonus,
    leaves etc.)
  • Ensure
    that various employee relations, policies and procedures are administered
    in a fair and consistent manner to include disciplinary proceedings,
    grievance handling, attendance management and capability issues.
  • Ensure
    personnel files are created in a consistent manner and that files are kept
    orderly, up-to-date and are easily accessible.
  • Maintain
    organization charts, starters and leavers report, exit interview
    statistics and other management reports/information, as requested on a
    timely basis e.g. weekly, monthly and annually.
  • Assist
    with day to day operations of the HR functions and duties
  • Provide
    clerical and administrative support to Human Resources executives
  • Setting
    appointments, arranging meetings, maintaining calendars, copying files, entering
    data into computer systems and tracking payments or other financial information.



Qualifications, Skills and Experience: 
  • The
    applicant must hold a Bachelor’s degree) in Human Resource Management.
  • At
    least two to three years of working experience in an organization with more
    than 100 employees.
  • Previous
    experience of working in a similar role within a HR department.
  • Proven
    experience in HR administration
  • Experience
    in working in a busy administrative role, supporting in multiple
    activities and dealing with a wide variety of staff.
  • Knowledge
    of labour laws of Uganda
  • Previous
    exposure and experience in developing and maintaining efficient and effective
    administrative systems.
  • Highly
    flexible in approach, prioritize workload and respond to crisis to ensure
    the necessary provisions are maintained.
  • Highly
    developed organizational skills capable of managing multiple priorities effectively
    to meet deadlines.
  • Ability
    to establish effective working relationships at all levels internally and externally.
  • Keen
    attention to detail and a high level of accuracy.
  • Can
    demonstrate an appreciation of confidentiality and exercise discretion.
  • Be
    a self-starter, well organized and able to prioritize effectively in order
    to maintain high level of standards and efficiency.
  • Excellent
    communication skills with fluency in English to produce high quality and accurate
    correspondence and documents.
  • Possession
    of a valid riding permit is a must.
