is a collaborative Bio-medical research and service delivery organization. It
strives to improve the quality of life of the local population through a
combination of community based research, curative services and prevention
strategies in the District of Rakai, South Western Uganda. It is based at the
Uganda Virus Research Institute Entebbe and Kalisizo in Rakai District.
About CDC Program:
With funding from PEPFAR/
Centers for Disease Control and Prevention (CDC), RHSP is implementing a 5 year
comprehensive HIV/ AIDS program in the 12 districts of Masaka region namely;
Rakai, Kyotera, Masaka, Kalungu, Bukomansimbi, Lyantonde, Lwengo, Sembabule,
Butambala, Gomba, Mpigi, and Kalangala with an aim of achieving rapid HIV
epidemic control.
Job Summary: The
Administrative Assistant will provide finance, administrative and secretarial
for the project activities in the district as appropriate. He/she will participate
in drawing of periodic work plans/budgets-in relation to the set targets, account
for all the project field funds and ensure proper utilization of project assets
and equipment. Develop a database of contact information; maintain distribution
lists for various kinds of project communication and schedule all project
meetings; attend and take minutes as appropriate.
Key Duties and Responsibilities:
  • Participate in drawing of periodic work
    plans/budgets-in relation to the set targets
  • Account for all the project field funds and
    ensure proper utilization of project assets and equipment
  • Develop monthly schedules to allocate use of vehicles
  • Supervise the drivers
  • Support in the management of project resources
    such as human resources, finances, vehicles among others
  • Prepare financial reports on a monthly,
    quarterly and annual basis
  • Assist with all aspects of administrative
    management, directory maintenance, logistics, equipment inventory and storage
  • Preparing meeting minutes, meeting notes and
    internal support materials.
  • Assigns jobs and duties to sanitary officers as
    required.
  • Schedules appointments and meetings with the
    district and other stakeholders
  • Manages staff Leave schedules
  • Assists in the preparation of activity budgets
    and expenses



Qualifications, Skills and Experience: 
  • The
    ideal candidate for the Administrative Assistant job opportunity should
    hold a Bachelor’s degree in
    Business administration or a related field
  • At least two years of relevant work experience
  • Basic accounting and book keeping skills
  • Good secretarial skills, including advanced
    abilities in word-processing, spreadsheets, filing, and general computer use; knowledge of MS Excel, Word and
    other common software programs is essential
  • Excellent communication and interpersonal
    skills; strong writing skills are essential
  • Ability to perform typing/word processing
    duties; knowledge of written communication formats and composition of such communications is crucial
  • Knowledge of general office practices and
    procedures particularly in filing, gathering and compiling information
  • The facility to consistently complete multiple
    requests in a timely fashion; ability to be creative in finding solutions to challenges
  • Demonstrated ability to work independently and
    with minimal supervision
