Job Summary: The Personal
Secretary will manage and execute administrative and executive support
activities associated with the office of the General Secretary. The Personal
Secretary will serve as principle point of administrative contact and liaison
with internal and external clients. The incumbent will provide specialist
administrative services as appropriate in such areas as fiscal management;
public relations and affairs; general business administration; and/or
development and relations, in the General Secretary’s Office.

with internal and external clients. The incumbent will provide specialist
administrative services as appropriate in such areas as fiscal management;
public relations and affairs; general business administration; and/or
development and relations, in the General Secretary’s Office.
Key Duties and Responsibilities:
- Serves
as the primary point of administrative contact and liaison with other
offices, individuals, and institutions on operational and programmatic
matters concerning the General Secretary’s Office; - Provides
and/or oversees provision of staff support to the office, to include
handling walk-up and phone interactions, maintaining calendars and travel
arrangements, screening, analyzing, and responding to all official
incoming and outgoing correspondences; - Oversees
and administers the day-to-day activities of the General Secretary’s
office; develops procedures, and systems which ensure productive and
efficient office operation. - Collects
and analyses information on specific issues, as required, and
independently prepares non-routine letters and/or reports, which may be
highly sensitive and confidential in nature; - Supports
the General Secretary in communications with the National Executive
Committee members, other dignitaries and prospective members; - Manages
the operation of office welfare, plans and monitors expenditures as
appropriate; - Booking
and arranging international travel and accommodation for visiting
stakeholders and staff after confirmation from relevant authority; - Perform
any other related duties as may be assigned;
Qualifications, Skills and Experience:
- The
applicant must hold a Bachelor’s Degree in Secretarial Studies, Public
Administration or Human Resource Management - Possession
of a post graduate qualification in any of the above will be an added
advantage - A
minimum of three years of practical and progressive experience in similar
role in a reputable and busy organisation - Well
developed interpersonal and team skills and proven ability to be flexible
in demanding situations. - Pleasant
and courteous personality - Proven
knowledge of management of communication systems, office management, and
filling and computer knowledge is a must.
