Operation Coordinator will effectively coordinate, monitor and support quality
enriched registered children and sponsor engagements and execute Sponsorship
operations within partnership standards in a manner that contributes to child
wellbeing.
Keenly analyze and Reconcile AP Performance
status, identify emerging issues and engage the respective stakeholders to
maintain the SOIs within the Partnership Standards
Establish and operationalize effective
structures and appropriate tools to support delivery / management of SOIs
Build staff and Volunteers capacity to deliver
quality SOI & CMS
Regularly monitor and Ensure all SOIs are
captured in Sponsorship , analyzed and reconciled with SOs and APs in
accordance to the Partnership Standards
Manage Sponsorship RC budget within the
partnership standards
Support APs to maintain SOIs within acceptable
Sponsorship index
Equip staff and volunteers with skills in using
Sponsorship operations maintain quality sponsorship operation and system
utilization.
Develop/Adapt appropriate sponsorship materials
and monitor their utilization and SOI step by step manuals to facilitate
ongoing learning on sponsorship business processes and system utilization
Actively facilitate periodical Orientation to
staff and volunteers on sponsorship Operations
RC Participation and Benefit within Region
Assigned
Facilitate the Operationalization of RC
participation guidelines and frameworks.
Support APs and facilitate establishment and
operationalization of CDPCs for RC participation
Develop/adapt appropriate materials to be used
for child participation and benefit.
Generate quarterly RC participation and
Wellbeing reports and support APs to develop appropriate actions on affected
RCs
Equip staff and COVAs with skills to manage the
CDPCs, child participation and protection.
Support APs to develop and operationalize
integrated sponsorship plans and monitor their implementation.
Actively facilitate engagement of Technical
Programs and Management on RC wellbeing.
Ensure all participation data is captured,
analyzed and shared with respective stake holders and appropriate case
management is taken
Support APs and clusters within assigned Region
to establish effective structures/framework and systems for quality for
sponsorship quality assurance.
Develop the capacity of staff and Volunteers on
Quality assurance in Correspondences and RC data.
Consolidate and share Support Office, GC and AP
emerging quality issues and Support APs take appropriate actions
Monitor & follow up pre Risk Based Audit
preparations and audit finding and recommendation to ensure that the identified
gaps are addressed and performance is improved within the clusters.
Conduct quarterly monitoring AP / Cluster
Sponsorship Support Visits and produce reports based on the identified gaps in
order to ensure sponsorship business are handled against the standards.
Work closely with Clusters & APs on the
quality of child communication (farewell letter, project closure comment, etc.)
by improving children’s skill and their engagement and participation on child
to Sponsor communications.
Work closely with Sponsorship System and Data
Management to clean, update and reconcile data quality sponsorship system
related issues.
Ensure timely and quality delivery of quality
Sponsorship 2.0 products( Child and Community contents ) ,
Design, Support Procurement Processes , foster
and support child engagements Annual Progressive Reports ,Christmas Cards and
other correspondences
Build and Strengthen capacity of staff and
Volunteers in production of quality contents and Correspondences.
Support APs to develop and utilize integrated
plans for Sponsorship 2.0 products.
Develop and utilize the sponsor welcome Pack to
meaningfully engage during the Sponsor Visits.
The Sponsorship Operation Coordinator will also
orient staff and Volunteers on utilization of the story teller tools for sponsor
communications.
Keenly monitor, support and Report on the
implementation of the CESP within the Region
Support sponsorship with programs to ensure
Sponsorship Minimum Programming Standard (SMPS) and Sponsorship in Programming
(SIP) are implemented in APs within the CDPCs
Regularly Review and support APs to take
appropriate actions to mitigate sponsorship risks
Support implementation of approved GC /EARO
sponsorship initiatives for roll-out at NO
Promote document and scale out promising
initiatives
Prepare, review, compile and submit quality
monthly, quarterly and annual reports on timely basis.
Experience:
The ideal candidate for the World Vision Sponsorship
Operation Coordinator job opportunity should hold a Bachelor’s degree in IS,
IT, Business Computing or related field from a recognized university.
Technical training qualifications required:
Professional technical skill desired
At least three years of hands on experience in
Supporting ICT systems
Good computer skills in Windows, MS Excel, Word,
publisher and power point.
Proven negotiation skills,
Fluent writing and spoken English.
