- Tasked with welcoming visitors and leading
them to the respective office. - Answering incoming telephones and ensuring
connection with concerned departments. - Upon request making telephone calls and
connecting the caller to the receiver. - Taking messages and relaying information
accordingly. - Checking and ensuring proper functioning
of all telephone lines and reporting any problems to the IT technician for
resolution. - Receiving mail and handing it over to the
appropriate office and preparing mail pouches for dispatch to specific
destinations. - Ensuring receipt of telephone bills from
the various service providers. - Assisting the HR dept. in receiving and
registering applications during recruitment processes.
- Making photocopies especially for the
monthly accounting as well as accountability documents from other
departments. - Supporting the Finance dept. during the
monthly closing especially with checking, verifying and packing documents. - Filing and archiving in the Administration
department i.e. premises and utility files. - Managing the Administration department’s
store for stationery and office consumables. - Tasked with monitoring and renewing
subscriptions for satellite TV and respecting payment deadlines. - Operate the photocopiers at the Delegation
(Including consumables) and ensuring that they are well protected and
switched off at the end of each day. - Maintaining a file for copier records
including purchase, service, repair and replacements. - Distributing and later collecting from
users all bills for private use of phones and compiling those bills for
charging.
- Supporting the Welcome Officer in
organizing hotel accommodation and workshop bookings. - Making flight reservations and purchasing
air tickets for professional and private travel. - Coordinating with Fleet dept. for airport
pick-up and drops for staff and visitor travelling. - When needed, processing travel and
immigration requirements (visas, travel insurance, work permits, etc.) for
staff or dependants.
Experience:
- The ideal employee of International
Committee of the Red Cross (ICRC) as a Receptionist should hold a relevant
degree or equivalent - Two to three years’ work experience in a
similar function - Excellent command of written and spoken
English (French and other languages, an asset). - Proficiency in Microsoft office
applications, ability to use internet and email applications. - Sense of discretion and responsibility,
ability to take initiative and to work independently. - Experience in handling travel and
immigration procedures - Excellent planning and organizational
skills - Good communication, reporting and
interpersonal skills - Service oriented with capacity to work
independently - Ability to work within a team and to
integrate him/herself and learn new skills - Age:
