Job Summary: The Volunteer/Intern
will work closely with the Senior Executive Assistant in the provision of administrative
and secretarial support services in contribution to the smooth running of the
Office of the Representative. This involves supporting the Senior Executive
Assistant in the management of information and coordination of matters within a
substantive team, acting as a key interface with a broad range of contacts
including high-ranking officials, both within and outside the Organization,
prioritizing tasks and organizing work independently based on general direction
from the supervisor.
Key Duties and
Responsibilities:   
·        
The jobholder will also ensure effective
management and processing of information (Incoming and outgoing) in the
Representative’s Office, through collection and analysis of data/documents, and
accurate reporting; maintains a constant and fluid communication flow on the
events, agendas, follow-up, and common work-plans, with Regional Office, SMT,
Chiefs of sections; decide on most appropriate systems to ensure the easy and
prompt retrieval and accessibility of Representative’s Office key documentation
and its dissemination as required.

Supervise the effective and efficient management
of the administrative, logistical, protocol and support functions of the Office
of the Representative, establishing, monitoring and evaluating work-processes,
identifying bottlenecks and areas for improvement, recommending solutions and
changes required for long-term improvements.
·        
Support the preparation of UCO representational,
inter-agency, internal programme and management meetings and of other key
events, coordinating and monitoring follow-up on agenda and objectives, as well
as follow-up on agreed action points.
·        
Prepare status reports and consolidates key
briefing materials and presentations for the Representative’s Office for
internal and external meetings and missions, the requests from the Regional
Director as and when required, and based on inputs from various sections;
analyze monthly programme and management reports and identify areas of concern
for the attention of the Representative.
·        
Work with the Deputy Representative, Planning,
Operations, HR, Emergency and Communication sections to support the
Representative’s role to provide effective Officer oversight and guidance on
program implementation, resources management, and fundraising efforts. Task
includes the review of documentation requiring signature of the Representative
to ensure they are consistent with established internal procedures and quality
standards.

Actively contribute to the organization of CMT
meetings and of the other high level meetings, ensuring quality technical and
logistical preparation and execution of these meetings. Provide secretariat
support to CMT meetings, and other key meetings convened by the Representative,
as part of the core coordination team preparing these meetings.



Qualifications, Skills and
Experience:
·        
The ideal candidate for the United Nations
UNICEF Volunteer/Intern job placement should have completed Secondary School
Education supplemented with University Degree or Diploma in relevant
disciplines.
·        
Must pass the UN clerical test in English.
·        
A minimum of three years of cumulative
professional experience in administrative/secretarial function as well as
standard office computer applications.
·        
Good IT Skills – Computer literacy
and the ability to effectively use standard office software tools and other
office technology to create documentation, exchange and archive e-mail, and
maintain electronic filing systems.
·        
Office Management Skills – three
years of office support work experience, including, organizing and supervising
the whole range of office support and administrative activities. Ability to
work with minimum of supervision.
·        
Ability to extract and format data and to solve
operational problems. Ability to organize own and others work, set priorities
and meet deadlines.
·        
Ability to organize meetings and events. Ability
to handle work quickly and accurately under time constraints
