Job Title:     Finance / Cashier Intern

in the construction of a better future. The programmes implemented by ACTED in
Africa, Asia, and Middle East, and Latin America/Caribbean, aim at addressing
the needs of the populations affected by wars, natural catastrophes, and/or
economical and social crisis. ACTED has been present in Uganda since 2007, and
currently implements its interventions in Moyo, Yumbe, Napak as well as in
Nakapiripirit (Karamoja region).
Key Duties and
Responsibilities:  
Daily Basis:
·        
Every day: ensure of having
daily exchange rates of currency;
·        
Voucher & Cashbook:
filling of voucher(s) & registration of voucher in cashbook;
·        
Payment: make payments for
all items and services which have been approved by the Country Finance Manager
·        
Safe & Cashbook checking:
at the end of each day, the cashbook and the safe should be checked and the
balance should correspond;
·        
Money Exchange Dealing:
whenever needed, change money for the cashbooks and register it in cashbook;
·        
Money Transfer Dealing:
registration and exchange of voucher reference between Country Office and Area;
Monthly Basis:
·        
At the end of each month: the
balance in the cashbook and in the safe should be checked and the cash checking
statement should be established and signed by the cashier and his Country
Finance Manager and Country Director;
·        
Vouchers: quality of vouchers
should be checked by the Cashier at the end of each month.
·        
Cashbook & SAGA: cashbook
and SAGA should be checked before closing the accounting month;
·        
Advances: ensure the
clearance of all advances for the staff, before paying the salary;
Accounting:
·        
Preparation of PRATIC (country wide)
·        
Charge with the consolidation of Debt Follow Up,
and Contract Follow Up country level
·        
In charge of advance/loan follow up at country
level
·        
Responsible for Advance/Loan follow up and
procedure compliance at Capital Level
·        
Responsible for Excel Book entries according to
ACTED Standard entry grid
·        
Responsible for cross check of allocation as per
purchase order with Finance Controller/Finance Officer
·        
Responsible for accounting codes accuracy in
cash/bank books and payment vouchers according to ACTED Standard entry grid
Cash:
·        
Responsible for cash flow level at Capital Level
(safe &bank)
·        
Responsible for cash transfer at country level
according ACTED procedure (Capital – Area, Other Country – Kampala)
·        
Responsible for Bank Direct Relation (Withdraw,
Transfer Execution, Cheque Book availability and request)
·        
Responsible for daily Cash Counts
·        
Responsible for preparation of Weekly Cash
Counts for Country Finance Manager approval (Cash Checking Statement)
·        
Responsible for preparation of Monthly Cash
Counts Country Finance Manager approval (Cash Checking Statement)
·        
Responsible of payment follow up
·        
Perform petty cash management
·        
Supervision of finance filing including
vouchers, cash checking, bank statements, bank reconciliation (country wide)
Payment Procedure:
·        
Responsible for payment execution at Capital
Level (according to ACTED payment procedures).
·        
In charge of preparing payment voucher for
approval by Country Finance Manager before payment is processed
·        
Responsible for liaising with logistics on
suppliers relation (payment oriented)
Filing:
·        
Responsible for first check of Capital Office
vouchers (monthly basis)
·        
Responsible for 2nd level of check of
Country Voucher (monthly basis)
·        
Responsible for filing follow up of country
voucher (monthly basis)
·        
Perform any other duties as assigned by your
line manager.



Qualifications, Skills and
Experience:
·        
The ideal candidate for this ACTED Finance /
Cashier Internship opportunity should hold a Bachelor’s Degree in Business Administration majoring in Accounting or Bachelor of Commerce
·        
Possession of professional training is an added
advantage
·        
Proven ability to use at least one accounting
software like quick books
·        
Be a quick learner, Committed and attentive to
details
·        
Good team player of high integrity, pleasant
personality, ability to work under least supervision and meet strict deadlines.
·        
Computer literacy skills i.e. proficiency in
Excel is mandatory
·        
Previous exposure and experience in overall
responsibility and accountability for the financial management of an
organization;
·        
Good public relations with strong negotiation
skills.
