About USAID RHITES-E Project:
IntraHealth International is implementing the new USAID Activity. The
USAID Regional Health Integration to Enhance Services in Eastern Uganda
(RHITES-E) supports the Government of Uganda (GOU) and key stakeholders to
increase availability and utilization of high quality health services in 21
districts in Eastern Uganda and two (2) in Karamoja. This is done by
strengthening health systems and improving the quality of, access to, and
demand for health services with attention to equity and underserved
populations.
Job Summary: The
Receptionist/Office Assistant will primarily be responsible for providing
operational support to the office in relation to hospitality, office
cleanliness, banking services, message services and other general duties.
Key Duties and
Responsibilities:  
  • The jobholder will provide delivery/errand
    services, which includes among others, mail, payments and banking
  • Provides support in printing, photocopying
    and binding for required activities materials
  • Provides support in maintaining the
    routine general cleanliness of the office, by supervising the contracted
    cleaners.
  • Serves as an appointed bank agent for
    encashment of the organizations cheques, including delivery and collection
    of bank correspondences.
  • Purchases and manages the usage of office
    cleaning and kitchen supplies.
  • Provides hospitality service to official
    guests, which includes providing teas and refreshments as may be needed.
  • Maintains general cleanliness of the
    kitchen and optimal handling of kitchen appliances.
  • Under direction of Administrative Officer,
    assist in maintenance of office stationery and supplies which includes
    it’s issuance and receipts and maintaining the prescribed monitoring
    record.
  • Provide relieve services as requested from
    time to time including but not limited to front office desk.
  • Provides logistical support in variety of
    areas, including but not limited to scanning, preparation of workshop
    materials.
  • Support the Finance team by typing out the
    VAT forms on a weekly basis as they are provided



Qualifications, Skills and
Experience:
  • The ideal applicants for the USAID
    Intrahealth International Receptionist/Office Assistant job placement
    should hold a Diploma in management, secretariat or equivalent field
  • At least two years of related working
    experience in a busy executive office
  • High degree of confidentiality
  • Ability to handle multiple tasks
    simultaneously with prioritization
  • Self-motivated and able to adapt to change
    quickly
  • Beginner level of Microsoft office
    (Outlook, Word and Excel) or more
