The Danish Refugee Council (DRC) is a private, independent,
humanitarian organization working on all aspects of the refugee cause in more
than 36 countries throughout the world. The aim of DRC is to protect refugees
and internally displaced persons (IDPs) against persecution and to promote
durable solutions to the problems of forced migration, on the basis of
humanitarian principles and human rights. DRC works in accordance with the UN
Conventions on Refugees and the Code of Conduct for the ICRC and NGOs in
Disaster Relief.
Job Summary: The Grants and
Reporting Officer will participate in donor and internal reporting, grants
information management and grants management capacity-building efforts for
Uganda. The GRO is the lead writer of donor reporting for ECHO and DFID
consortium in Uganda programs and supports with monitoring grant progress and
updating tracking sheets, in collaboration with the ECHO and DFID consortium
managers, coordinating the information necessary to communicate accurately on
ECHO and DFID consortium’s Uganda’s activities. The GRO also supports in
ensuring information is shared on compliance with donors and internal grants
rules and regulations, with technical support from the Uganda Grants Manager.
Key Duties and
Responsibilities:  
  • Under the guidance of the consortium
    managers, follow up with consortium partners to receive monthly, quarterly
    and interim reports within the stipulated timelines;
  • Ensure high quality reports are submitted
    to the donor within stipulated timeframes;
  • Review the monthly reports against the
    programs logical framework and consolidate them for submission;
  • Highlight and raise concerns in regard to
    achievement of milestones and issues raised by implementing partners.
Grants:
  • Ensure that reports to donors are
    submitted on time and are coherent and accurately written (monthly,
    quarterly, interim and/or final report);
  • Maintain a record of and follow up donor
    reporting and audit deadlines and requirements;
  • Maintain hard and soft copy grants files;
  • Play a supporting role in Grant Launch and
    Close-Out meetings, as well as monthly/regular grants management meetings
    which includes representation from each unit (finance, programs, and
    logistics) and ensure proper follow up of issues raised;
  • Regularly monitor and support the use of
    grants management tools amongst program teams to ensure accurate tracking
    of implementation, progress and timely alerts to potential
    challenges/obstacles;
  • Ensure compliance with DRC’s internal
    grants management requirements, with support from Uganda Grants Manager
    and ECHO and DFID consortium managers in development of reports ensuring
    integration of information and recommendations delivered by the previous
    programs including from minutes of donors meetings, evaluation reports and
    audits.



Training and Capacity Building:
  • To offer training and capacity building of
    national staff on program reporting and progress monitoring;
  • Keep informed on grants management support
    tools which can be shared with program managers and teams;
Information Management/Data Collection:
  • Ensure copies of all documentation (grant
    proposals, reports, budget etc.) are made available to share
    electronically with all managers. Ensure comprehensive grant files are
    maintained up to date and are available for use;
  • Assist advocacy and communications officer
    to develop external communication tools as relevant for donor
    visits/meetings.
Qualifications, Skills and
Experience:
The ideal candidate for the Danish Refugee Council (DRC) Grants
and Reporting Officer placement must hold a Bachelor’s degree in a relevant
field
