Coordinator
the International Development Association (IDA) towards the implementation of
the Uganda Reproductive Maternal and Child Health Services Improvement Project
herein after referred to as the “Project.” The objectives of the Project are
to: (i) to improve utilization of essential health services with a focus on
reproductive, maternal, newborn, child and adolescent health services in target
districts; and (ii) Scale up birth and death registration BDR) services.
Administrative Assistant will provide effective office management services to
the Project Office. The incumbent will provide administrative and secretarial
support to the Project Office.
Responsibilities:
- Answer telephones and give information to
callers, take messages, or transfer calls to appropriate officers. - The jobholder will arrange conferences,
meetings, travel arrangements for office personnel and logistics for
visiting missions - Compose, type, and distribute meeting
notes, routine correspondence, and reports. - Set up and maintain paper and electronic
filing systems for records, correspondence, and other material. - Order and dispense office supplies and
manage petty cash. - Operate office equipment such as scanners,
copiers, and phone systems, and use computers for spreadsheet, word
processing, database management, and other applications. - Tasked with filling correspondence to and
from the Project. - Perform other duties as determined by the
Project Coordinator.
Experience:
- The applicants must be Ugandan Nationals
with a basic university degree in Secretarial Studies, Business
Administration, Social Sciences or related field from a recognized
Institution. - A minimum of three years of related
experience as an Administrative Assistant in a busy organization - Previous experience working with the
Public sector or multilateral and bilateral agencies will be an added
advantage. - Prior experience in providing assistance
in Project Coordination and implementation. - Computer literacy skills i.e. proficiency
in Microsoft Office, Internet is essential - Good typing speed of at least 40 words per
minute - Strong analytical, planning and
organizational skills - Excellent interpersonal skills,
communication skills, both oral and written - Strong coaching and leadership skills
- Ability to work under minimum supervision
and meet strict deadlines - Demonstrated integrity and confidentiality
in handling public matters/resources - Computer knowledge and skills in MS Word,
Ms Excel and internet/email is a mandatory requirement
