Job Summary: The Grants
Coordinator will lead and ensure quality management (development, delivery and
closure) of all grants in VSO Uganda (VSOU) Programmes

Key Duties and

Grants Development:
- Ensure that VSOU has a robust and updated
grants management system. - Works in liaison with programmes staff to
prepare fully costed budgets in new grants in accordance with donor
guidelines and in VSO budget format (Proposal Total Cost – PTC) while
applying VSO finance and costing policies. - Work in close collaboration with Finance
Manager to ensure new budgets align with country budget plans
Grants Implementation:
- Ensure all new projects have appropriate
budget codes with robust grants documentation in both soft and hard copy
in line with VSO grants management system.
- Ensure all new grants have Grants
Compliance System that allows to monitor and adhere to donor requirements
in close coordination with programmes team. - Ensure that every project-cycle has a
grants compliance monitoring approach easily understood by the users. - Work in close coordination with sub-grants
officers and programme staff to effectively manage donor and VSO
compliance in every project/grant. - Lead partners’ capacity building on
quality grants management. - Prepare good quality finance reports for
all donors as per donor requirement - Assist the Finance manager in annual
/quarterly budget re-forecasts preparations. - Produce timely monthly management reports
for each project and work with programme staff to ensure accuracy. - Support the Programme managers in the
preparation of monthly grant management meetings.
Financial Management:
- Ensure that relevant internal controls as
per the donor requirements and VSO finance manual, are adhered to. - Support Finance manager in training the
other finance and programme staff on SUN 5 reporting technology and donor
regulations. - Provide technical support to the Finance
manager during all finance audits.
People Management:
- Technically manage all sub-grants officers
for solid sub-grants budget implementation and delivery of partner
accountabilities and data into the reporting system to ensure completeness
and accuracy in finance reporting, in close coordination with the
programmes team. - Manage staff learning & development
priorities in line with programme strategy and people first principles. - Work in close coordination with programme,
HR, operations and finance to ensure that grant learnings are generated
and used well in programme design. - Deputise for the Finance manager in terms of
budget and grant management when required.
Qualifications, Skills and
Experience:
Experience:
- The applicant should be a Qualified
Accountant with a related degree - A minimum of four years’ experience of
financial planning and sub grant accounting. Experience of financial
reporting, measurement and analysis. - At least three years’ experience working
in a multi-funded international development organisation. - Good technical accounting skills.
- Previous experience of rules and
regulations for non-profit organisations. Knowledge of donor financial
reporting and donor procurement procedures. - Experience of working in multiple foreign
currencies and understanding of foreign exchange hedging. - Financial and Information Technology
Systems – Advanced knowledge of Microsoft Office, Excel
particularly. Use of accounting software, SUN Accounts system preferred. - Communication and Influencing Skills
– Good written and verbal communication skills – able to listen, present,
discuss, report, put views forward, negotiate with confidence. Sensitivity to cultural and language
differences, able to interact with people at all levels of the
organisation. Able to work with others in a consultative way.Ability to
withstand and resolve conflict. Effective negotiating professional
solutions. Commitment to VSO’s work and values - Decision Making and planning –
Professional judgement and discernment. Capacity for inquiry, research,
logical and analytical thinking, powers of reasoning and critical
analysis. Experience of decision modelling. - Risk Management – Experience of
identifying, analysing and mitigating financial risks. - Planning and Organisation –
Able to prioritise within restricted resources to tight deadlines. Able to
anticipate and adapt to change. Strong attention to detail. Ability to work independently with
minimal supervision. Self-motivated to set initiatives and self-learn.
