About US:
Association for Aid and Relief (AAR Japan) was founded in 1979 by
Yukika SOHMA, our first chairperson, with a mission to help refugees from
Indochina, and as a civil organization without any political, religious, or
ideological affiliations. It has since then grown into an international
organization approved and registered by the United Nations. AAR Japan has five
main pillars of activities; 1) emergency assistance, 2) assistance to persons
with disabilities, 3) landmine and unexploded ordnance (UXO) action, 4) action
against infectious diseases and 5) public awareness raising about global issues
in Japan. Since the beginning, AAR Japan has operated in over 60 countries.
Currently we are active in 15 countries and areas, including 4 African
countries namely Kenya, Zambia, Sudan and Uganda.

Key Duties and
Responsibilities:
Responsibilities:
- The Administrative and Logistics Officer
will provide support in the procurement of goods, logistics, and various
kinds of administrative office works. - Negotiate over the quality, price, and
condition of the goods with suppliers. - Make draft of various contracts either
related to project or administration. - Keep proper and correct records of all the
office consumables and assets with Microsoft Excel. - Supervise and provide guidance to external
experts of transportation. - Keenly check and enter data recorded in
logbook and analyze the result - Arrangement and control stock of project
materials in warehouse or storeroom - Provide support to the accounting and
administrative work in Kampala, including picking up receipts or other
documents, purchasing office supplies, photocopying or sending parcels. - Keep proper records of attendance of staff
members - Keep and update HR related information
such as contact list and ID cards - Perform administrative duties such as
filing, typing, copying, binding, scanning etc. and arranging for flight
and accommodation for staff, and controlling petty cash for project - Perform any other duties if requested by
supervisors
Qualifications, Skills and
Experience:
Experience:
- The ideal candidate must hold a Bachelor’s
degree or higher in a relevant field - At least four years’ experience
- Previous exposure and experience in
procurement and logistics - Experience in administrative works
- Experience in working with aid
organizations - Ugandan citizen, residing in Uganda and
able to station in Yumbe - Ability to travel frequently to Kampala
(AAR’s Kampala Office) at supervisors’ instructions - Excellent PC literacy including word
processing (MS Word) and spreadsheets (MS Excel) - Strong motivation to be part of an aid
organization - Excellent at working as a part of the
team, especially reporting to supervisor in a timely manner. - Good time keeping
- Solid drafting/reporting skills
- Fluency in speaking and writing English
- Strong co-ordination and negotiation
skills with stakeholders and problem solving skills - Culturally sensitive and high level of
diplomacy and tact.
