Resources Business Partner Assistant
will take responsibility for the completion of a full range of HR
activities requiring some interpretation of standard guidelines and practices.
The incumbent will support the delivery of the HR Strategy by being the advisor
on all HR policies and processes and to assist in the delivery of HR programmes
in the area office/field. Reporting to
Head of HR, the incumbent will work closely with the Area Office Management,
advising on all HR related issues and ensuring the effective execution of
change. He/She will use his/her knowledge and management of HR Information
Systems to provide insight and ensure data reliability for the area office and
field teams. In addition, the incumbent
will perform a cross-section of all HR related aspects within the jurisdiction
of the area office. These will include, provision of HR administrative
Services, guidance and advice on HR issues.
Responsibilities:
- Supports line managers in delivering
quality interviews and other methods of assessment - Supports line managers in delivering high
quality orientation/induction and effective on-boarding experiences - Supports talent processes by coaching and
enabling area management to generate objective and fair decisions
- Shares insights with managers on how to
improve performance based on analysis relating to culture, values,
environment, team effectiveness and change readiness. Identifies when an intervention is
required for individuals and teams - Advises
and coaches on Performance Management tools and works closely with
area management to ensure they understand how performance management tool
combine to enhance performance, attract, engage and retain employees - Ensures all staff in the area of operations have job
descriptions and TORs; and a copy of the Annual performance Plan (APP);
- Manages the communication and
administration of learning and capability building interventions - Supports the implementation of learning
needs and skill gap analyses
- Role-models the ‘change-ready employee’ by
remaining flexible, positive and open to change - Communicates and engages on the vision for
performance culture, high performing teams and individuals and successful
change management - Communicates to all employees the benefits
of a change-ready culture - Understands technology used in existing
and new HR solutions and provides guidance to employees
- Monitors and follow-up completion of HR
processes and documents within the area of jurisdiction; (e.g. employment
contracts extensions; separation clearance forms, etc.); - Establishes a leave plan, support
implementation of the plan, share necessary forms to be completed, brief
staff on their entitlements, in line with the contract terms and
conditions and enter data in WINGS and send documents to the HR CO; - Coordinates provision of psycho-social
support to colleagues and family members within the area of operation; - Input staff data in the HR management
systems (WINGS, PASport, spreadsheets, etc.) as appropriate; - Ensure Service Contract Evaluation (SCE)
Forms are completed before end of contract; - Perform any other duties as may be
assigned by the supervisor from time to time
- Provide administrative support and
guidance on HR related matters at the Area /Field Office level in line
with HR policies and procedures - Co-ordinates and rolls-out internal
communication messages - Supports the HRBP team in preparing and
providing accurate information, collating & analysing data and
producing clear, insightful and meaningful report - Provides accurate and timely information,
data and advice to area/field management and employees on the
organization’s human resources policies and procedures - Supports the development and
implementation of HR solutions by understanding how the organization works
Experience:
- The ideal candidate for the United Nations
UN World Food Programme (WFP) Human Resources Business Partner Assistant
career opportunity should hold a University degree in either Human
Resources, Business Administration, Social Sciences, or any other related
fields, obtained from a recognized university. - A minimum of four (4) years working
experience in either, human resources, administrative work, or any other
related field, acquired from a reputable organization. - Excellent communication skills
- Extensive knowledge of HR Business
Partnering and administrative work practices and methods, gained through
relevant technical training and experience; - Excellent
communication skills and basic understanding of HR principles and
their application in order to respond to and resolve general HR queries; - Ability to develop and maintain
relationships with a wide range of individuals in order to provide a high
quality support service; - Ability to collate, analyse and compile
relevant data from a variety of sources in order to produce periodic
reports for supervisor(s); - Computer literacy skills i.e. knowledge
and experience using computer MS packages - Excellent command of oral and written
English is essential.
