Job Summary: The Executive
Assistant (EA) will support and enhance the Executive’s effectiveness by
providing information for management support and representing the Executive
Director(ED) where required.
Key Duties and Responsibilities:  
  • The incumbent also represents the ED by
    attending meetings in the Executive Director’s absence.
  • The Executive Assistant must act as the
    ED’s first point of contact with people from both inside and outside the
    organization.
  • The jobholder prepares and submits reports
    by collecting and analyzing information. Secures information by completing
    database backups.
  • Maintains professional and technical
    knowledge by establishing organization data base for organizational
    networks.
  • The jobholder also maintains ED’s
    appointment schedule by planning and scheduling meetings, conferences and
    travel that the ED has to attend.
  • Briefing the ED on the agenda before every
    meeting, taking notes and Minutes for meetings.
  • Welcomes guests and customers by greeting
    them, in person or on the telephone, answering or directing inquiries.
    Replying to all the correspondences that come to the ED’s office on time.
  • Maintains confidence and protects
    operations by keeping information confidential.
  • Significantly contributes to team effort
    by accomplishing related results as needed.
  • Perform any other duties assigned to the
    Executive Assistant by the ED or designate.
Qualifications, Skills and
Experience: 
  • The ideal candidate should hold a
    University degree in any of the following; Business administration,
    Secretarial studies or relevant University education.
  • At least five years’ experience in a
    similar position
  • Excellent writing, communications and
    diplomatic skills
  • Strong presentation, planning, Time
    Management, Organization and coordination skills.
  • Skill in maintaining professional internal
    and external relationships.
  • Excellent analytical skills
  • Keen attention to detail, ability to
    follow procedures, meet deadlines and work independently and cooperatively
    with team members.
  • Skills in preparing reports, inventory
    management, Records management, travel logistics / scheduling.
  • Broad knowledge and understanding of
    Administration, general Office practice and Office security management
  • Computer literacy skills i.e. Microsoft
    word, Microsoft excel and Microsoft power point and Microsoft access, web
    content management and internet communication technologies are MUST.
  • Fluency in written and spoken English.
  • The applicant should be a self- starter
    and willing to work long hours where necessary
