Job Summary: The Administration
& Finance Assistant will assist the FCA Finance and Administration
Coordinator and the Project Coordinator in financial and administrative management
of the FCA/ECHO project.
Key Duties and
Responsibilities:  
Financial Management and Reporting:
  • Render support in preparing and
    maintaining the project account in accordance with FCA Financial Policies
    and procedures and to ensure financial compliance, accuracy and
    completeness of data for its inclusion into statement of accounts and
    adjustment of budgets related to the FCA/ECHO project.
  • Supports the FAC and the PC in maintaining
    efficient financial control (of cash flows, local payment, etc.),
    accountability standards, procedures and records;
  • Support and assists the Project
    Coordinator and the project staff on all aspects of allowances, salary
    advances , travel claims and other financial matters, calculate and
    authorize payments due for claims and services.
  • Prepares detailed cost estimates, and
    participates in budget analysis of ECHO-financed activities, as required.
  • Manages money transfers and bank
    relations.
  • Render support in preparing monthly
    financial reports in line with the monthly reporting timetable.
  • Provide timely and appropriate financial
    information to FAC and budget holders.
  • Ensure compliance with government
    regulations in financial and other matters (taxation and approval from
    local authorities); and timely payment of taxes
  • Support the FAC in coordination of
    internal and external audits.
  • Assist the FAC to conduct spot checks,
    regular and ad-hoc, in the field offices and partner offices to test the
    financial control.
Administration:
  • Ensure that timesheets are completed by
    all staff on a monthly basis.
  • Support the field offices in strengthening
    systems and operational functions in relation to general administration,
  • Ensure FCA Procurement Policies compliance
    in UGA- CO operations.
  • Maintain hard and electronic files and
    update data base systems ensuring timely and appropriate recording,
    safekeeping and disposal of confidential information
  • Ensure proper management and maintenance
    of IT and communications (laptops, printers, telephone and other means
    related to Information Technology and Communication).
Qualifications, Skills and
Experience:
  • The ideal candidate for the Finn Church
    Aid (FCA) Administration & Finance Assistant job placement should hold
    a University degree or equivalent in accounting, finance, Business
    Administration or other closely related field.
  • At least two to four years’ experience in
    a similar position.
  • Good accountancy and administration
    skills.
  • Highly analytical skills.
  • Knowledge and experience in managing
    budgets
  • Excellent communication and interpersonal
    skills
  • Knowledge of Quick books is an asset.
