URC manages projects in over 45 countries, including the United States.
Health Integration to Enhance Health Services in East Central Uganda Project
(USAID/Uganda RHITES-EC) whose aim is to support the implementation of a
comprehensive integrated investment in regional
health, nutritional assistance and HIV/AIDS programs. The five-year
project targets 11 districts in East Central Uganda with an estimated total
population of 4.1 million through a district-based integrated package of
quality health, nutrition, HIV / AIDS and child development services.
Administration Coordinator is responsible for the thorough oversight of the
administrative function, ensuring day-to-day office operations run smoothly,
including management of events, adherence to safety and security policies and
procedures, and facility maintenance and repairs.
Responsibilities:
- Tasked with general office organization
- Safe, neat and secure work environment
- Up-to-date fleet fuel, repair &
maintenance reports produced - Up-to-date vendor reports produced.
- Report on stores situation and
transactions produced - Keenly monitor the implementation of
guidelines for office management, maintenance of accurate records of all
assets and inventories in line with USAID RHITES-EC set standards - Maintain a schedule for drivers and manage
transport needs for USAID RHITES-EC staff and guests - Periodically conduct stores and assets
auditing to review the reliability and integrity of stock and assets
management information & activities and make appropriate
recommendations to curb the gaps in line with the - Confirm need for vehicle repair and
maintenance in accordance with USAID RHITES-EC fleet management guidelines - The jobholder will regularly review and
maintain the implementation of procedures on storage, inventory control
and distribution of supplies, spare parts and consumables to different
users - Receive vendor bills, review, process
payment for telephone, water and electricity, vehicles repair and maintenance,
fuel and vehicle hire - Prepare monthly administration reports and
submit to Operations Manager - Ensure cleanliness, neatness and security
of the work environment as per USAID RHITES-EC office management
guidelines - Perform any other duties as may be assigned
Experience:
- The applicants for the USAID RHITES-EC
Administration Coordinator job opportunity must hold a Bachelor’s Degree
in Business Administration or its equivalent - Possession of a post graduate diploma in
Business Administration is an added advantage - At least five years’ experience in a busy
organization - The applicant should preferably have
purchasing and supply knowledge - Stores management knowledge is desired
- Working knowledge of general office
management procedures desired - Knowledge in fleet management desired
- Excellent interpersonal skills are desired
- Good communication skills
- Good records management skills
- Hands-on computer skills
