Director
established by the UPPC Act 1992 Cap.30 as a leading Government printer
mandated to provide printing and publishing facilities to the government
ministries, departments, and parastatal bodies .private companies, individuals
and organizations. The corporation prints and publishes all government
legislation and documents and undertakes security printing works.
Assistant will support the Managing Director in carrying out his roles for purposes
of ensuring quality, timely and secure service delivery.
Responsibilities:
- The incumbent will relieve Managing
Director of administrative detail of all tasks, coordinating work flow,
updating and chasing delegated tasks to ensure progress to deadlines,
taking initiative in manager’s absence, keeping tasks on schedule and
ensuring consistent performance of routine; - Prepare, arrange and maintain the Managing
Director’s office in line with the Corporation’s mission; - The jobholder will also prepare and
monitor Managing Director’s Diary/Calendar for efficient communication
within and outside UPPC; - Prepare, manage, maintain and co-ordinate
a Records Management system and information flow within the Managing
Director’s office; - Co-ordinate and monitor execution of
targets by the management team as agreed during management meetings; - Remind the Managing Director on progress
of implementation of Board decisions and feedback; - Ensure constant reminders to heads of
departments to submit departmental reports on time and record them
accordingly in the Managing Director Office; - Organize for both Board and Management
meetings; - In-charge of identifying important events
which require participation of the Managing Director and advise the
Managing Director accordingly; - Ensure effective communication to
stakeholders through management of the in-coming and outgoing files; - The incumbent will research on issues
concerning Printing and Publishing industry and advise the Managing
Director accordingly; - Perform any other duties as may be
assigned to you by your supervisor.
Experience:
- The ideal candidate should preferably hold
a Bachelor’s Degree in Business Administration, Office Management or
Secretarial studies; - A minimum of three years’ experience in an
administrative environment in a reputable organization - Computer literacy skills i.e. proficiency
in MS office and Internet; - Excellent communication skills, i.e. oral
and written. - Very strong confidential and interpersonal
skills. - High standards of integrity with a clean
track record. - Good team building skills.

- Highly organized with ability to
multi-task. - High degree of creativity and innovation
with a forward thinking approach. - Ability to prioritize, organize, own work
load and manage projects to completion. - Ability to work well under pressure and
with tight time constraints.
