About USAID RHITES-EC Project:
University Research Co., LLC (URC) is implementing the USAID Regional
Health Integration to Enhance Health Services in East Central Uganda Project
(USAID/Uganda RHITES-EC) whose aim is to support the implementation of a
comprehensive integrated investment in regional 
health, nutritional assistance and HIV/AIDS programs. The five-year
project targets 11 districts in East Central Uganda with an estimated total
population of 4.1 million through a district-based integrated package of
quality health, nutrition, HIV / AIDS and child development services.
Job Summary: The
Administrative Assistant will provide secretarial and office administrative services
to the USAID RHITES-EC Project Chief of Party (COP) and other project
activities.
Key Duties and
Responsibilities:  
  • Provide secretarial services provided to
    COP
  • Tasked with ensuring proper filing system
    is maintained
  • Ensure the documents are prepared and
    distributed
  • Ensure that the project correspondence
    well managed
  • Provide logistical/ administrative support
    to COP’s office
  • Tasked with the management of Meetings
  • Arrange appointments for the Chief of
    Party and ensure that they are properly coordinated
  • Type letters, reports and other documents
    of the Service Centre
  • File documents and maintain a proper
    filing system
  • Receive incoming mail and distribute them
    to the appropriate officers
  • Receive and make telephone calls
  • Maintain a diary for meetings, workshops,
    visitors of the COP
  • Take dictations and transcribe them
  • Offer logistical support to the COP
  • Establish and maintain a proper filing
    system for the Project
  • Answer telephone calls, screen and route
    them to respective persons
  • Distribution of mail, and dispatch the
    outgoing mails
  • In charge of maintaining appointment
    schedules for the COP
  • Draft, type correspondence & other
    official documents as instructed by COP
  • Open, sort and screen in-coming mails
  • The incumbent will also have the duty of
    requisitioning and controlling irectorate stationery
  • Processing contingencies, refund and
    reimbursements for the COP & other Senior Management members
  • Taking Minutes and disseminating them
  • Perform any other duties that may be
    assigned by the supervisor from time to time
Qualifications, Skills and
Experience:
  • The ideal candidate for the USAID
    RHITES-EC Project Administrative Assistant job vacancy should preferably
    hold a Bachelor’s Degree in Business Studies
  • Possession of a Postgraduate training in
    administrative studies is an added advantage
  • At least two years of secretarial and
    clerical administration work in a busy office
  • Good public relations/interpersonal skills
  • Short-hand skills
  • Excellent communication skills
  • Good computer skills
  • High degree of integrity and confidentiality
  • Assertiveness desired
  • Good Knowledge of Business English
