Region Sustainable Development Project (ARSDP)-Component 2- Local Access,
Planning and Development
Uganda
received funding from the World Bank to implement Albertine Region Sustainable
Development Project (ARSDP)-Component 2- Local Access, Planning and
Development. This Project Component will finance physical planning and
infrastructure development in Hoima District, Buliisa District and Buliisa Town
Council.
Administrative Assistant will provide general administration and support
functions to PST staff under ARSDP.
Responsibilities:
- Provide technical support to PST in all
office administrative transactions - Meeting and greeting clients, supporting
and facilitating the activities of visitors at the ARSDP-PST Offices; - Receiving, sorting, delivering and
processing incoming and outgoing correspondences and handling general
enquiries in consultation with Personal Secretary to PC; - Screening, answering and forwarding phone
calls, - Ensuring that the office facilities are
clean at all times including the reception area; - Tasked with monitoring the physical and
functional state of general equipment and furniture, and report faults the
Project Engineer; - Ensuring that office utilities (water,
electricity etc.) are properly used without wastage; - Ensuring that the Offices are opened
before 8:00 am and closed after 5 pm. - Supports the service providers of catering
services for meetings held in ARSDP offices premises. - Undertaking internal errands for staff
including delivery of documents to relevant Offices; - Manage the Administrative Desk at
meetings, workshops and functions organized by ARSDP - Take minutes during ARSDP Meetings and
follow up with Specialists on agreed action points - Arranging boardroom bookings, arranging
local travels and, occasionally, travelling with the PST to support
Administrative functions or to provide general assistance during
presentations; - Printing, Photocopying and scanning and
organizing office documents in the required order - Preparing and serving office tea
- Perform any other duties assigned by the
Project Engineer or any member of PST.
- The ideal candidate for the World Bank
ARSDP Project Administrative Assistant job should preferably hold an honors
Bachelor’s Degree specializing in Secretarial Studies or Office management - A minimum of three years’ experience in
Secretarial work and/or Office Management attained from a reputable
organization. - Computer skills in office applications
such as Microsoft Excel & Word - Excellent interpersonal skills; commitment
to team-oriented work in a multi-disciplinary matrix management
environment. - Proven skills in organizing venues for a
wide range of functions. - Ability to work under pressure, meet tight
deadlines, and prioritize and deliver assignments as required. - Effective time management, and ability to
handle confidential information - Strong English language skills (verbal and
written)
