Job Summary: The
Administrator will be charged with ensuring a proper quality assurance
programme for the outsourcing department especially in facility management. The
role involves providing technical assistance and consultation to management and
staff on interpretation and application of the organisation policies, standard
operating procedures, Client (s) requirement as per the agreement (s) and other
statutory requirements.

Key Duties and
Responsibilities:
Responsibilities:
- Provide support in monitoring the department’s
technical activities and supporting systems in accordance with the
existing SOP’s - Conduct audits of procedures, reports
(e.g. monthly, status and incident reports among others) and follow up any
agreed corrective actions. Also Present monthly activity, operations,
procurement and reimbursable reports. - Maintain efficient communications links
for effective working relations between Head Office, the Field offices and
other stakeholders especially the client personnel. - Responsible for the timely recognition of
compliance issues and implementation of corrective action plans. - Act as the point of contact for all
information regarding human resources and ensure that policies and the
Clients’ code of conduct are adhered to. - The jobholder will control and account for
the expenditure, in line with policies and procedures. - Maintain activity records that include but
are not limited to insurance cover schedule for staff group accident,
staff medical cover, incident, leave and attendance records - Manage the performance of outsourced
staff. - Manage Facility and expatriate housing,
and ensure office systems are in place and adhered to for the proper
functioning. - Work closely with the finance team on
quotations and invoicing as per the agreement with the Client (s). - Maintain the account records that include
assets, maintenance schedules and reports. - Convene Procurement committee for
evaluation of sub-contractor proposals received and follow through on
contract/tenancy procedures. S/he will also Coordinate procurement of goods/services
for the client - Maintain a Contract Renewal Schedule for
all Service Contracts to ensure their timely renewal. - Work in liaison with the security service
provider so as to have effective man guarding services, security check
procedures, fire protection, and maintenance of alarm, access and CCTV
equipment. - Coordinate the trainings on fire
protection, first aid, and evacuation plans
Qualifications, Skills and
Experience:
Experience:
- The ideal candidate should preferably hold
a Bachelor’s Degree in a Business related Field. - At least two years’ experience in a
similar position - Organizing and analytical skills
- Good communication skills and ability to
speak fluent English
