Job Summary: The Human
Resources Coordinator will undertake a variety of HR administrative duties. The
incumbent will facilitate daily HR functions like keeping track of the employee
records and supporting interview processes. The role will also involve tasks
focused on growing our talent pipeline, improve our sourcing tactics and
enhance capacity building and development of employees in the program countries
including Uganda, Burundi, Tanzania, Ethiopia, Mozambique, Ghana, Mali,
Liberia, Benin and Rwanda.
Key Duties and
Responsibilities:  
Staffing, recruitment and on-boarding (40%)
  • Prepares, posts and circulates vacancy
    announcements at the regional level and assists hiring managers in
    preparing vacancy announcements for SMT positions at the country level.
  • The incumbent screens and evaluates
    applications; arranges and participates in the interviews and the
    selection process of regional positions, country Directors, and other
    senior country positions when required.
  • Completes reference checks and prepares
    job offer letters to successful candidates of the Regional Office and
    Country Directors.
  • Assists the AHRM with preparation of
    contracts and monitoring of the same.
  • Prepares new hire orientation package and
    organizes on-boarding and orientation within RO.
  • Works closely with IT HQ to create new
    email accounts and solve IT problems in the region
Employee services and employee relations (20%)
  • Supports the AHRM with management of
    employee status changes at RO such as promotions, transfers and
    terminations.
  • Manages staff personal files and contracts
    at RO and ensures contracts are renewed and ended in a timely manner.
  • Responds to RO employees’ inquiries
    regarding their entitlements and provides employment letters to employees
    as necessary.
  • Supports the AHRM in addressing and
    managing employee relations issues; maintains confidential records
    including grievances ad complaints.
  • Oversees personnel related functions as
    well as staff personal files at RO and provided guidance to the HR Focal
    Persons at country level.
  • Fosters a work environment of cultural
    sensitivity and awareness.
Performance appraisals, training and development (15%)
  • Facilitates the implementation of RTP
    performance appraisal system; tracks probationary reviews and annual
    reviews to ensure completion; collects performance appraisals and submits
    appraisal results to the AHRM as required.
  • Identifies training needs of HR focal
    points and participates in trainings to build their HR capacity;
Termination, reports and general (15%)
  • Carries out exit interviews.
  • Maintains the Human Resources information
    in database.
  • Provides pertinent metrics such as
    Headcount, gender and other HR reports to the AHRM.
  • Keenly tracks vacations and leaves.
  • Supports office visits and expats
    assignments in coordination with the AHRM.
  • Reports any issues with office morale to
    the AHRM.
  • Works closely with IT HQ to close new
    email accounts.
Organization design, job analysis and compensation (10%)
  • The incumbent implements suitable
    organization design, upgrades related org charts as agreed with the AHRM.
  • Work in close coordination with department
    head, develops job descriptions for new positions and coordinate with HR
    HQ for finalization and approval.
  • Actively participates in the salary and
    benefits surveys as well as in budget planning processes.
  • Completes payroll related information for regional
    office and supports reviews payroll change request forms from the
    respective countries.
  • Enrolls all Regional Office new employees
    in benefits program and administers changes as needed, oversees the
    administration of benefits program for country offices.
Qualifications, Skills and
Experience:
  • The applicant for the Right To Play (RTP) Human
    Resources Coordinator job placement should preferably hold a Bachelor’s
    degree in management, human resources or other related discipline.
  • At least three years’ experience working
    within the human resources function.
  • The ideal candidate will have a broad
    knowledge of Human Resources as well as ability to efficiently and
    effectively ensure the end-to-end running of HR operations.
  • Demonstrated ability to maintain confidentiality
    and foster trust and respect.
  • Self-motivated, highly organized, detail
    oriented, comfortable with numbers.
  • Good team player
  • Strong MS office and the ability to use
    technology to collaborate across a global organization
  • Previous experience with HR information
    system
